The appointee will provide secretarial assistance to the Associate Director (Building Services) and offer administrative support for the general operations of the Building Services Section within the Campus Management Office, in accordance with established policies and procedures.

Major responsibilities include:

  • Provide administrative assistance to the Associate Director (Building Services), including organizing meetings, managing calendars and facilitating logistical arrangements;
  • Serve as the primary administrative support for the Building Services Section, assisting with documentation and communication needs;
  • Handle incoming and outgoing calls, emails, correspondence, and inquiries, ensuring timely and professional responses; 
  • Liaise with internal departments and external stakeholders to ensure smooth operations.
  • Assist in procurement processes and ensure compliance with office policies;
  • Handle and process utilities bills (electricity, gas and water) in a timely and accurate manner;
  • Keep filing systems (electronic and physical) in good order and up to date; and 
  • Perform other duties as assigned by the Associate Director (Building Services).

Applicants should possess a higher diploma or above with at least 5 years of relevant secretarial/ administrative working experience with at least 2 years serving Senior Executive. Candidates should have good interpersonal and communication skills, and be responsible, proactive, self-motivated, detailed-oriented, highly organized and able to work both independently as well as in a team. A good command of written and spoken English and Chinese, as well as proficiency in Microsoft Office applications (including Excel, Word, PowerPoint and Outlook) are required. (Duration: 2 years, renewable)

Starting salary will be commensurate with qualifications and experience.  Fringe benefits including annual leave, medical and dental benefits will be provided.  A gratuity will be payable upon successful completion of contract.
