The HKUST Business School is a globally recognized leader in business and management education. The MBA Program Office seeks a proactive, organized, and self-motivated Assistant Officer to join the Career & Professional Development Team (CPD). Reporting to the Head of MBA Career Services & Corporate Relations, the appointee will provide critical administrative and operational support to enhance the MBA student experience. Key responsibilities include:
- Handle Student Enquiries: Act as the primary point of contact for the CPD office, addressing inquiries from MBA students—experienced professionals—with professionalism and efficiency. Build strong relationships to enhance student satisfaction and experience.
- MBA Online Job Board Maintenance: Maintain and update the MBA job board with accurate, relevant, and timely career opportunities to support students’ job search efforts.
- Career Event Coordination: Plan and execute logistics for career-related events, including the annual Career Fair, recruitment events, on-campus interviews, company visits, and executive sharing sessions. Responsibilities include event scheduling, registration management, venue setup, catering management and on-site support.
- CRM System Support: Ensure smooth operation of the CRM system, including student account setup and troubleshooting. Collaborate with system vendors to provide user experience insights and support process automation and system enhancements.
- Administrative and Ad-hoc Support: Manage daily administrative duties, such as maintaining career resources (e.g., bulk subscriptions to job search platforms and online career training tools) and preparing internal documentations on quotations and payments. Provide ad-hoc support as needed.
- New Initiatives: Monitoring regular administrative and operational workflow and identify issues. Demonstrating ownership to provide solutions to any issues and make proposal or suggest new initiatives to streamline procedures for the MBA CPD.
Qualifications and Skills:
- A bachelor’s degree from a recognized institution.
- Proactive, organized, and able to multitask effectively in a fast-paced environment.
- Strong interpersonal skills and a collaborative team player.
- Ability to work independently with a sense of urgency and accountability.
- Excellent command of written and spoken English and Chinese (Cantonese and Mandarin preferred).
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Experience with CRM or online platforms is an advantage.
- Flexibility to work outside regular office hours, including occasional Saturdays, with time-off in lieu provided.
Employment Terms:
- Duration: 2-year contract, renewable based on performance.
- Salary: Competitive and commensurate with qualifications and experience.
- Benefits: Includes annual leave, medical and dental coverage, and gratuity upon successful contract completion.
