Job Purpose:

The Administration Compliance Specialist serves as the compliance, safety, and governance expert for all administrative functions at the site. The role ensures adherence to Haleon policies, SOPs, EHS standards, statutory requirements, and quality systems across Admin-controlled areas including facilities, housekeeping, transportation, time office, and general services.

Key Responsibilities:

  • Monitor compliance with Haleon policies, SOPs, and statutory requirements across all admin functions.
  • Maintain an audit-ready environment through documentation control, record accuracy, and timely reporting.
  • Conduct periodic compliance checks, gap assessments, and risk evaluations.
  • Ensure vendor compliance with contractual terms, SLAs, safety standards, and labor laws.
  • Support internal and external audits; coordinate evidence, responses, and corrective actions.
  • Support the site with EW Relations management aspects (e.g. data management and administrative compliance of 3P contracts would be centralized i.e. the individual will work closely with BOs at site to ensure contract related compliances under a defined framework to ensure our Legal compliances
  • Oversee compliance of attendance processes, biometric systems, and Time Trax (or equivalent) controls.
  • Validate overtime, shift rosters, leave records, and contractor attendance sheets.
  • Ensure accurate and timely submission of attendance data to HR and Payroll.
  • Identify discrepancies, highlight anomalies, and implement corrective measures.
  • Ensure all facility operations (canteen, utilities, office spaces, meeting rooms, residences) follow SOPs and safety standards.
  • Track AMC renewals, service schedules, and vendor performance.
  • Maintain compliance logs for pest control, HVAC, water testing, waste management, and other facility services.
  • Conduct routine inspections and maintain hygiene audit reports.
  • Ensure cleaning chemicals, tools, and machines meet compliance and safety requirements.
  • Track manpower deployment and ensure contractor compliance.
  • Ensure compliance of pool cars, staff transportation, and logistics vehicles with company policies and legal requirements.
  • Monitor route planning, fuel consumption, driver rosters, and vehicle documentation (tax, fitness, insurance).
  • Maintain fleet logs, GPS reports, and preventive maintenance schedules.
  • Conduct periodic checks on driver behavior, safety compliance, and vehicle readiness.
  • Ensure preventive and corrective maintenance activities follow SOPs and safety protocols.
  • Maintain compliance records for electrical systems, plumbing, civil- 0`1 works, and equipment servicing.
  • Track asset inventories, AMC renewals, and contractor performance.
  • Support facility upgrades and ensures documentation for all works. Maintain centralized compliance dashboards, trackers, and audit logs.
  • Prepare monthly compliance reports for Site Admin leadership.
  • Identify process gaps and recommend improvements to strengthen governance.
  • Support digitalization of admin processes to enhance transparency and efficiency.
  • Ensure Admin, Facility, and contractor teams complete required compliance training, periodic reviews, refresher courses, and SOP sign-offs.
  • Maintain training records and strengthen capability-building programs.

Skills & Competencies:

  • Bachelor’s degree in business administration/management, LLB or related field.
  • 4-6 years of experience in IR, administration, compliance, or facility governance roles.
  • Experience in FMCG, pharma, or manufacturing environments preferred.
  • Familiarity with ISO standards, EHS compliance, and audit processes is an advantage
  • Experience managing compliance-related projects and familiarity with manufacturing and packaging operations.
  • Hands on experience with SAP Ariba, time management systems (e.g., TimeTrax), and advanced proficiency in Microsoft Office for reporting and documentation
