Job Summary:

The Registrar is responsible for the accuracy, security, and integrity of all academic records and registration processes at the Goodwill Career & Technical Academy (GCTA). This role oversees student enrollment, class scheduling, record maintenance, documentation issuance, data reporting, and compliance with internal and external requirements. The Registrar serves as a key liaison between students, instructors, Career Navigators, Program Managers, and administrative leadership to ensure seamless program delivery and exceptional student service.

This position plays a vital role in supporting student success, program quality, and overall operational effectiveness.

Job Description

Essential Functions

  • Maintain accurate, complete, and confidential student academic records in CaseWorthy and other approved data systems.
  • Ensure timely and compliant documentation of enrollment, attendance, academic progress, completions, certifications, and withdrawals.
  • Issue and maintain official records including transcripts, completion certificates, credentials, and class rosters.
  • Monitor prerequisite completion (OSHA 10, Physical Ability Test, Program Assessments, etc.) and flag incomplete or missing requirements.
  • Issue and maintain documentation including transcripts, completion certificates, and class rosters. 
  • Support intake workflow by collaborating with Career Navigators and Instructors.
  • Maintain accurate program capacities and waitlists, assist with student placement and enrollment adjustments.
  • Generate and submit student data reports for internal use, grants, and external partners. 
  • Ensure confidentiality and safeguard sensitive information. 
  • Coordinate reporting for graduation rates, completion and employment outcomes, and grant-funded program metrics. 
  • Support audits, evaluations, and compliance reviews as required. 
  • Assist in the development, publication and maintenance of academic calendars, class schedules and program timelines
  • Support instructors by maintaining current class rosters, credential tracking logs, and necessary documentation for instructions.
  • Send follow up messages to students.
  • Serve as the primary point of contact for CaseWorthy functionality related to student records, reporting, and workflows.
  • Collaborate with program leadership to refine intake, registration, and completion of workflow for improved efficiency.
  • Coordinate with Career Navigators, Instructors, and Program Managers to ensure smooth intake-to-completion workflow. 
  • Help prepare materials for Advisory Council meetings, accreditation processes, and stakeholder reporting. 
  • Manage historical record archiving and retrieval. 
  • Review registration related policies and procedures and provide recommendations for continuous improvement.
  • Support cross-functional teams in improving students' services, retention strategies, and program continuity. 
  • Perform other duties as assigned.

Minimum Qualifications

Required Skills

Education

  • Bachelor degree in Education, Business Administration, Office Management, or a related field.
  • 4+ years of experience in student records, office administration, or program coordination.

Experience

  • Experience with CaseWorthy or other student information systems. 
  • Experience working in workforce development, vocational training, or nonprofit education settings. 
  • Strong organizational and record-keeping skills. 
  • High level of confidentiality, integrity, and attention to detail. 
  • Proficiency in Microsoft Office (Word, Excel, Outlook); comfort with databases and online tools.

Knowledge / Skills

  • Able to proficiently use Microsoft Word, Excel, Outlook, Internet and can learn new software as needed such as Caseworthy, and other Goodwill provided software.
  • Able to market Goodwill services to employers, referral sources and potential clients.
  • Strong written and oral communication skills including ability to be able to communicate effectively with internal and external customers.
  • Able to coordinate and schedule multiple activities, projects and work schedules.
  • Able to learn new processes quickly and possess strong organizational skills.
  • Strong customer service and interpersonal skills.
  • Strong time-management skills and must be able to pay attention to detail.
  • Able to establish and maintain contact with the community.
