About this role

Responsibilities.

  • Responsible for all aspects of Vaccine Research Center (VRC) Facilities-related projects, including defining the project scope, expected timeline, budget tracking, monitoring and reporting all phases, and determining what group(s) within NIH/NIAID will complete the work.
  • Gather information required to submit project requests, including scheduling, planning, and leading project meetings, and following up on action items.
  • Communicate with assigned team members or Program Officers (POs) weekly to ensure projects are on track.
  • Record project communications and updates using electronic tracking sheets and document repositories.
  • Evaluate and submit requests to Procurement Team for goods and services to determine which best meets the needs of the end users.
  • Provide expert acquisitions advice and assistance to the Facilities Team and VRC leadership.
  • Conduct market research on equipment and/or services needed for projects.
  • Prepare equipment and service order documents for submission to Procurement Department.
  • Collaborated with clients to select materials and finishes, ensuring alignment with project vision and budget.
  • Review and update monthly maintenance agreements.
  • Lead initiatives to streamline records management and building inventory processes.
  • Troubleshoot anomalies on invoices.
  • Edit and format procurement documents, correspondence and memos.
  • Support, plan, and execute project moves and staff relocations.
  • Maintain constant and effective communication, both written and orally, with stakeholders.
  • Review floor plans to ensure they meet end-user requirements.
  • Manage and maintain the Facilities Management System to track service tickets and ensure clear communication with requestors.
  • Submit service requests for equipment repairs, general maintenance, and housekeeping.
  • Order facility related supplies and equipment as needed.


Qualifications.

  • Bachelor’s degree in a related field. Four (4) years of specialized experience plus a High School diploma is equivalent to a Bachelor’s degree.
    Minimum of six years of experience in a related field is required.
