GENERAL JOB DESCRIPTION 

The Receptionist is responsible for answering and routing phone calls, greeting visitors and participants and distributing ID badges.     Utilize Agency database (DARTS) to look up information, process payments as applicable, upload participant data, and run reports as requested.  Perform general clerical functions such as typing letters, copying, faxing, memos, processing incoming mail, and updating phone extension list. 

QUALIFICATIONS  

One-year related experience operating a busy switchboard and six months related office experience. Be proficient with using Microsoft Word.  Preferred working experience with Excel spreadsheets with or without formula writing.  Ability to multi-task a must. Clear speaking voice. Interpersonal skills sufficient to communicate with clients, public and staff.  Experience in working with individuals with disabilities preferred. Math and language skills sufficient to complete required documentation. 

DUTIES AND RESPONSIBILITIES 

  1. Operate switchboard; determine appropriate routing.  
  2. Greet all individuals entering the reception area; including ensuring proper ID is visible. 
  3. Distribute gas cards and bus passes, ensuring all required information is logged properly. 
  4. Process intake applications. 
  5. Utilizing Agency database (DARTS), record, determine, and collect and enter fee payments and generate receipts for the Business and Career Services program as assigned. 
  6. Utilize Microsoft Word software to perform various clerical functions such as form letters, memos, labels, etc. 
  7. Maintain appointment calendars as needed and requested. 
  8. Perform general clerical functions such as mail distribution, copying, faxing, and scanning and uploading documents into Agency database (DARTS). 
  9. Serve on Agency committee(s) as appointed.

WORKING CONDITIONS

Environmental conditions:

  • Moderate noise (i.e., business office with computers, phone, and printers, light traffic).
  • Ability to work in a confined area.
  • Ability to sit at a computer terminal for an extended period. 

Physical requirements:

  • While performing the duties of this job, the employee is regularly required to, stand, sit; talk, hear, and use hands and fingers to operate a computer and telephone keyboard, reach, stoop, kneel to install computer equipment.
  • Specific vision abilities required by this job include close vision requirements due to computer work.
  • Light to moderate lifting in required.

This position is non-exempt and eligible for overtime pay in accordance with the Federal Fair Labor Standards Act.
