We’re seeking an organised Contract Administrator to support the Contract Manager under our newly secured IDC contract with NZTA across the Manawatū and Whanganui regions. In this role, you’ll be responsible for maintaining all contract records and reports, preparing agendas and minutes for key meetings, and coordinating technical reporting and monthly claims. You’ll also manage registers for incident response and continuous improvement, assist with cost recovery and planning, and support the team in meeting reporting requirements.
In addition to the above you will:
Maintain accurate contract records and reports, ensuring logical organisation and secure documentation
Prepare agendas and minutes for key meetings, including daily standups, planning workshops, briefings, and incident response exercises
Coordinate monthly claims, technical reporting, and trend analysis, ensuring timely delivery of required reports such as health, safety, environmental, and performance metrics
Support contract planning, cost recovery, and investigation of CRM issues, as well as monitoring unauthorised works and landowner concerns
Build strong relationships with NZTA and stakeholders, contribute to continuous improvement, and assist with additional duties as required

We’re looking for someone with:
Minimum 5 years’ relevant experience in contract administration or similar field
Solid understanding of contract management processes and departmental operations
Strong organisational, analytical, and record-keeping skills
Excellent communication and relationship-building abilities
Safety-related certification
Ability to manage multiple reporting streams and support planning, cost recovery, and incident response
Flexible approach to extra duties and projects
Current class 1 driver’s licence
