Job Description
The HR Coordinator – Benefits & Leave of Absence (LOA) supports the administration, coordination, and execution of employee benefits and leave programs. This role requires a detail-oriented, highly motivated individual who enjoys working collaboratively, learning new skills, and contributing to positive employee experience. The successful candidate will play a key role in ensuring accurate benefits administration, regulatory compliance, and exceptional customer service for employees.
Specific Responsibilities
Benefit Administration
· Administer employee benefit programs, including medical, dental, vision, life, disability, retirement, and wellness plans.
· Coordinate and support annual open enrollment planning, communications, and execution.
· Assist in managing relationships with benefit vendors and broker partners.
· Ensure accurate benefits eligibility tracking, enrollment, and system updates.
· Respond to employee benefits inquiries, claims issues, and escalations in a timely and professional manner.
· Maintain up-to-date benefits documentation, policies, and plan summaries.
· Review and process vendor invoices to ensure accurate billing and timely payment.
Leave of Absence (LOA) Support
· Receive, review, and log employees leave requests (FMLA, medical, parental, etc.).
· Perform data entry and maintain confidential electronic and physical leave records.
· Track and code documentation using HR system (e.g., ADP Workforce Now).
· Prepare and distribute standard leave forms and correspondence.
· Assist in verifying leave eligibility by reviewing submitted documents.
· Support payroll coordination by ensuring proper leave coding and status updates.
· File and organize medical certifications and leave-related paperwork.
· Provide basic administrative support
Compliance & Regulatory Support
· Preparing and file required compliance reports and disclosures.
· Conduct internal compliance audits and assist with risk assessments.
· Maintain records for audits, inspections, and regulatory inquiries.
· Complete HCSO monthly audits and reporting requirements.
Data Management & Reporting
· Maintain accurate benefits, leave, and compliance data within HRIS and related systems.
· Generate reports for leadership, audits, and regulatory filings.
· Ensure confidentiality and security of employee data in accordance with privacy standards.
Additional Duties
· Participate in cross-functional HR projects, workforce analytics, data reporting, and organizational initiatives.
· Collaborate with the HR team to support management efforts and organizational effectiveness.
· Perform additional duties as assigned.
Minimum Requirements and Qualifications
· Associate degree in Human Resources, Business Administration, or a related field required.
· Minimum of 3 years of experience in HR, benefits administration, or leave management.
· Strong attention to detail, organizational, and time-management skills.
· Ability to handle sensitive and confidential information with discretion.
· Proficiency with HRIS systems and Microsoft Office (Excel, Word, Outlook).
· Accuracy in data handling
· Professional written and verbal communication
· Ability to manage repetitive tasks efficiently.

Reports to: HR Director
Job Type: Full-time
Work Schedule: Hybrid
FLSA Status: Exempt
Salary Range - $70000 - $80,000 Annually (DOE)
Benefits (subject to election and eligibility): Fully-Paid Medical and Dental Plans; Health Reimbursement Card, Paid Time Off (personal, vacation, and sick time), 403B with company match.
