Fairview is looking for an Intake RN Specialist to join our Bone Marrow Transplant (BMT) and Cellular Therapy team. The BMT and Cellular Therapy Intake Specialist is the initial and ongoing point of contact for referring providers and patients referred for BMT or Cellular Therapy until the work up commences.  This includes active monitoring of a several hundred patients. Effective communication with multiple outside providers to organize timing of workups and monitoring of medical needs prior to patients arriving here.

Responsibilities

  • In addition to the role of the BMT nurse coordinator, the BMT and Cellular Therapy RN Intake Specialists responsibilities include:
  • Close collaboration with Transplant Financial Case Managers from intake through BMT or Cellular Therapy infusion to ensure insurance approvals are in place for every step of the process and provides necessary clinical information for third party payers including completing authorization forms.
  • Provide coaching to BMT program standards, policy interpretations, and problem solving to ensure quality of service.”
  • Leads weekly status meeting with Medical Director, search NC, financial team, admin secretaries and the clinical trials office to work prioritizing patients from referral through admission (Status Meeting).
  • Act as a resource manager to control the flow of patients through the program.
  • The Intake RN Specialist has in depth knowledge of BMT and Cellular therapy protocols to guide appropriate scheduling of new patients and alerts CTO staff of potential Cellular Therapy patients that may qualify for trials. Additionally, this role is also responsible for the Protocol specific work up order entry.
  • Work closely with the FACT accreditation manager to ensure the integrity of the auditing process.
  • Collaborates and coordinates patient care with referring MD and BMT/Cell Therapy MD to organize BMT and Cellular Therapy patient work up. This includes placing work up orders, assigning workups to NC, problem solving complex medical/social issues the work up NC and or SW may encounter, and collaborating with donor center/ MCT for cellular therapy patient work ups.
  • Verifies BMT and Cellular Therapy infusion reports to ensure workload accuracy and participates in weekly cellular therapy meeting to keep track of and implement next steps on the new cell therapy referrals.
  • Educates recipients and donors on work up screening testing and plan of care. Interprets recipient and familial HLA and PRA reports, communicates results to MD and patient, and coordinates with search NC to begin unrelated donor search when indicated.
  • Registers CART patients in manufacturer portal and point of contact for the manufacturer.
  • Coordinate BMT and cellular therapy admissions including orders for line placement, create patient calendars. Coordinate donor harvest scheduling and same day admit.
  • Attends meetings for upcoming clinical trial studies (SIV, CCPM meeting), representing the BMT program at CTO meetings for initiating and planning protocols, developing workflows, participating and help in implementing logistics plans for studies going through the BMT office.
  • Act as a resource to the clinical team by providing problem solving support. Serve as a clinical resource for schedulers and administrative secretaries.
  • Patient who are also on a research protocols in addition to SOC need additional coordination for visits/procedures during work up and admission with the clinical trial office. These additional procedures might include Apheresis, Lab, Imaging and various specialties.
  • Working in collaboration with the manager to help lead the effort on updating work up order set to match protocol and will own the maintenance of the order sets.
  • Partner with leadership and staff to identify and monitor key departmental metrics in order to improve quality, safety, and communication.
  • Collaborate with leadership and staff to develop streamlined workflows and implement process improvements as they pertain to BMT.
  • Work in collaboration with leadership to represent the BMT program at organizational meeting as needed and collaborate with internal and external departments (including insurance provider) to meet patient and program goals.


Required Qualifications

  • Bachelors Degree in Nursing and if bachelor’s degree is not in nursing then must have a master’s degree in nursing
  • 2 years of BMT clinical experience
  • Registered Nurse Current MN RN license

Preferred Qualifications

  • Masters Degree in Nursing
  • 2 years of management, leadership or charge nurse experience
  • 7 years of BMT clinical (inpatient/outpatient/search) experience

The posted pay range is for a 40-hour workweek (1.0 FTE). The actual rate of pay offered within this range may depend on several factors, such as FTE, skills, knowledge, relevant education, experience, and market conditions.
