Job Summary
The Sales Administrator I supports the Pre-Construction department by performing a variety of administrative and clerical tasks that facilitate communication between customers, the Sales team, and the Estimating department. This role is critical for ensuring that project information is organized, communicated efficiently, and maintained accurately throughout the bidding and pre-construction phases.
Duties and responsibilities
- Set up and organize project files and job information; relay details to the Sales and Estimating Teams.
- Communicate with customers to gather required project documentation and information.
- Provide administrative support to the Sales Team, including document preparation, scheduling, and data entry.
- Maintain and update the Bid Schedule in coordination with the Estimating Team.
- Assist with special projects as assigned by management.
- Ensure accurate and timely communication of information across teams.
- Perform general clerical duties such as filing, scanning, and managing incoming/outgoing communications.
- Other related duties as assigned.
Qualifications
Qualifications
- Education: High School Diploma or equivalent; additional education preferred.
- Skills & Abilities:
- Bilingual (Spanish/English) preferred
- Strong multitasking and organizational skills
- Professional communication skills, both written and verbal
- Intermediate proficiency in Microsoft Office (Word, Excel, Outlook, etc.)
- Familiarity with AutoCAD and sales strategies is a plus
- Demonstrated ability to deliver excellent internal and external customer service
Working conditions
This position is office-based with occasional travel. Applicants must be willing to work overtime and weekends if needed.
Physical requirements
- This position primarily involves sitting at a desk and working on a computer for extended periods.
- Must be able to operate a computer, telephone, and standard office equipment with repetitive hand and finger motions.
- Must be able to occasionally lift up to 15 pounds (e.g., office supplies, files).
- Must be able to communicate effectively in person, over the phone, and via email.
- Must be able to move around the office to access files, office equipment, and attend meetings.
- Must have adequate visual acuity to read and interpret printed and digital documents, spreadsheets, and screens.
