About this role

Summary:

The Associate Master Data is the main support for data analysis to assure the integrity and timeliness of data pertaining to all Fleets within Crude Trucking. This includes over 363 tractors/trailers combo, with several data points including but not limited to tractor/trailers age tracking, fuel efficiency, odometer tracking, maintenance expense and repairs.

The role covers various areas:

   - Analyze actual compared to standard costs for ongoing expenses and identify opportunities and risks.

   - Route the payment to SAP and work with Account Payable to ensure timely payment to maintenance vendor.

   - Review and validate mileage recorded.

   - Analyze trends on maintenance related items.

   - Support Maintenance Manager on their decision making.

   - Helps develop, promote & implement initiatives for innovation. Creates an environment for continuous improvement and, together with staff, identifies and implements new ideas to improve the cost effectiveness of the business.

  

Essential Duties and Responsibilities:

·         Invoice Processing (SAP/Apttus) – Validate maintenance charges and code it to the right Cost Center and route it over to Account Payable department and ensure that payments goes out in timely manner.

·         Invoice Audit – Monthly reconciliation against the expense booked in SAP with invoice to avoid overpayment. Check to make sure expense is booked in the right cost center.  Analyze shop repair estimates and invoices for accuracy and potential cost savings.

·         Mileages Tracking – Validate month end odometer reading on the tractor.

·         Bill Group Maintenance – Ensure that new bill group is being setup correctly with the vendor for new area.

Maintenance KPI (Dashboard) – Create one stop shop dashboard for maintenance manager to review assets’ age, mileage, utilization, cost per miles, upcoming repairs and trends.

 

 



Requirements:

Education and/or Experience, Knowledge, Skills & Abilities:

To perform this job successfully, an individual must be able to perform each essential job duty satisfactorily. The requirements for this position are listed below:

·         Bachelor’s degree in business, finance, logistics, supply chain or related discipline preferred or equivalent work experience in lieu of a degree

·         0-2 Years of experience administering invoice data in a large and transaction intensive.

·         Accounting & SAP experience appreciated.

Preferred Qualifications:

·         Strong computer skills in MS Excel and other MS product and familiarity with some transportation management software.

·         Knowledge in Power BI is a Plus.

·         Must have strong analytical skills and solid understanding and knowledge of financial data. 

·         Ability to organize, perform and prioritize various functions in a fast-paced environment. 

·         Must be a self-starter and able to work with minimal supervision, detail oriented. 

·         Strong communications skills (verbal and written).

·         Must be a team player, and able to work effectively cross functionally with a diverse workforce and at various levels within the organization.

Working Conditions:

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.

·         Usually, normal office working conditions.

·         Must be able to remain in a stationary position 50%25 of the time due to prolonged periods of sitting or standing.

·         Occasional overnight travel may be required.

·         Occasional visits to industrial/manufacturing settings, which may include exposure to various materials and chemicals, as well as extreme temperature conditions and loud machinery, and require appropriate personal protective equipment.
