Overview

Program Manager - Provider Onboarding

 

  • Full-Time, 40 hours/week.
  • Monday- Friday: Hours will vary.
  • Location: Downers Grove, IL

 

The Program Manager, Provider Onboarding guides physicians and providers through the process of joining Duly Health and Care. This role will perform administrative office support which includes coordination of clerical tasks, daily activities, project management for all providers, and manage the entire Onboarding Process for physicians (pre-hire to first 24 months of employment).


Responsibilities

  1. Initiates and finalizes the onboarding process of all new physicians and providers to ensure providers start in a timely manner
    1. Initiate established centralized activities for recruitment, onboarding, credentialing, and privileging of new providers
    2. Anticipates Physician Recruitment needs by gathering records, implementing physician employee ID, reports, correspondence, or other specific information
    3. Identify new physician information and onboard into ATS, HRIS, and intranet
    4. Collaborate with Payroll, Finance, and HR Departments to ensure physicians are entered into the system and paid correctly as well as assist with sign on bonus agreements and payouts
    5. Facilitate physician contract communications, onboarding welcome email, provider intake forms, and pre-employment screenings.
  2. Manages the Physician Onboarding process for physicians. Requires 25% travel to clinic sites
    1. Serves as a liaison by escorting and navigating customized onboarding needs of providers on a weekly basis
    2. Ensures the provider has familiarity and requisite training for specialty specific clinical applications and administrative applications
    3. Coordinates and ensures that provider introductions to staff and colleagues are made in a timely manner
    4. Processes and maintains all physician interview expenses and reimbursements
    5. Manages all new physician bonuses in coordination with HR
    6. Executes monthly New Physician Orientation sessions and ensure all presentation materials and presenters are current
    7. Escalates and coordinates with cross functional partners to resolve provider challenges
    8. Assists Administration to help cascade down information as needed
  3. Collaborate with stakeholders to identify and lead opportunities for process improvements to increase efficiencies across the entire onboarding experience
    1. Cultivates a high touch and comprehensive onboarding experience that engages new hires and acclimates them to our core values, team members, and processes.
    2. Provides advanced interpretation and analysis of complex onboarding inquiries, including troubleshooting ATS and HCM systems
    3. Strategically partner with team members including physician executives, senior leadership, and management across multiple functions to best deliver determinations and solutions
    4. Partner with cross-functional departments: Director of Physician HR, Finance, Credentialing, Epic, HRIS, and Marketing.
    5. Holds stakeholders accountable for timely completion of onboarding deliverables to ensure a seamless new-hire experience.
    6. Revamp and streamline physician onboarding checklist

 

 


Qualifications

EDUCATION:

  • Bachelor's degree in related field required.

 

EXPERIENCE:

  • Two years administrative experience required, including 1 year with a healthcare organization.

 

The compensation for this role includes a base pay range of $85,000-$128,000, with the actual pay determined by factors such as skills, experience, education, certifications, geographic location, and internal equity. Additional compensation may be available through shift differentials, bonuses, and other incentives. Base pay is only a portion of the total rewards package.
