All the brands offer tours, travel packages, and guaranteed entry to marathons, cycling events, long-distance triathlons, HYROX events around the world, together with VIP hospitality access to many of the top professional cycling events as well as managing travel programs for mass participation events on behalf of charities, companies and groups throughout the year. Due to an exciting year of growth, we are now looking to add a Customer Service and Admin Coordinator to join our Australian team in Adelaide to assist our team create, sell and host travel tours. 

The Customer Service & Admin Coordinator supports the travel sales team by managing administrative tasks, coordinating bookings, maintaining client records, and ensuring smooth communication between clients, suppliers, and internal departments. This role is essential in delivering exceptional customer service and supporting the achievement of sales targets. 

 

No two days are the same in this exciting role but on a typical day you will:

 

  • Process travel bookings, amendments, and cancellations accurately and efficiently. 

  • Prepare and finalise travel documentation for clients. 

  • Maintain and update client databases and CRM systems. 

  • Liaise with internal sales and product teams to confirm arrangements. 

  • Support the team with administrative tasks such as reporting, document preparation, and follow-ups. 

  • Assist with responding to client inquiries via phone, email, or in person in a timely and professional manner. 

  • Monitor and track payments, refunds, and assist with finance admin. 

  • Update client requirements for travel, ie hotel room list, special requests 



To be successful within this role, our ideal candidate will:

  • Have working experience in a customer service &/or administrative role

  • Be organised, detail orientated & have the ability to work on multiple projects.

  • Have a 'can-do' attitude & drive to develop within the role.

  • Possess strong interpersonal, communication and collaboration skills.

  • Customer-focused with a proactive and problem-solving attitude. 

  • Work as a team player to establish business processes and meet team goals.

  • Have the ability to prioritise workload.

  • Experience with Microsoft packages (Word, Excel & Outlook), HubSpot, Canva would be highly advantageous.
