Overview
The Administrative Assistant II provides advanced administrative support to a department or individual, performing a wide range of clerical and coordination duties that require strong organizational, communication, and multitasking skills. This role typically functions at a senior administrative level, with responsibility for leading projects, mentoring or training other office staff, and handling confidential or sensitive information with discretion. The position operates with moderate supervision and is expected to proactively identify issues and support resolution efforts.
Responsibilities
- Provide comprehensive administrative support including typing, filing, document preparation, and record keeping
- Answer phones, manage calendars, schedule meetings, and coordinate conferences and events
- Coordinate office operations such as ordering supplies, managing mail distribution, and maintaining organized filing systems
- Support special projects by recording, compiling, retrieving, analyzing, and reporting information
- Maintain confidentiality when handling sensitive or proprietary information
- Prioritize and manage multiple tasks simultaneously in a fast-paced environment
- Serve as a senior administrative resource by mentoring, training, or guiding other office staff as needed
- Communicate effectively with internal teams, leadership, and external contacts
- Identify administrative issues or inefficiencies and escalate or assist in resolution as appropriate
Qualifications
- 2+ yrs. of Administrative Assistant experience required. Oil and Gas experience highly preferred.
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and email systems
- Strong organizational and administrative coordination abilities
- Demonstrated ability to multitask, prioritize, and meet deadlines
- Customer service–oriented mindset with professional interpersonal skills
- Experience handling confidential and sensitive information
- Ability to work independently with moderate direction
- High School Diploma or GED equivalent required.
- Must be able to meet all conditional job offer requirements including background, drug test (UA), agility and fit for duty
