About this role

Under minimal supervision and on own initiative, performs standard and advanced secretarial duties. Requires superior administrative and organizational skills, a thorough knowledge of practices and procedures of the function, company policy and procedures.

Responsibilities include but are not limited to:

  • 1)Type orders into specialized Excel system, issue work orders, and invoice completed orders, follow up with customers on past due invoices.    

    2) Provide documental support to External Accounting Firm

    3) Provide assistance in Accounts Receivable, Payable and Corporate Reporting tasks

    2) Manage the development, completion and distribution of all monthly reports.

    3) Coordinate travel arrangements, including flights, hotel and car rentals as required.

    4) Greet and assist all visitors and assign security badges and overseeing Visual Compliance for all visitors.

    5) Provide support for incoming calls.

    6) Support functions assigned for Site Manager and Accounting Dept.

    7) Coordinate mailing and shipments acitivities

    8) Responsible for document control of Accounting and specific Administrative procedures.

    10) Other duties as assigned related to Administrative and Accounting functions.

Representative Qualifications:

  • Experience in typing, phone, communication and data entry are essential.

  • Knowledge of MS Office (Word and Excel).

  • Skills to coordinate and plan meetings.
