Based at FRG in Farmingdale, NY, the Charter Coordinator manages the end-to-end flight experience for Aircraft Owners and Block Charter Clients. This role requires a sophisticated, client-centered approach and a firm grasp of CFR 14 Parts 91 and 135 regulations. As a primary point of contact for high-net-worth individuals, the successful candidate must demonstrate impeccable attention to detail, thrive in a fast-paced team setting, and provide immediate, high-priority responses to all requests.

Job Responsibilities

  • Foster a culture of proactive service, anticipating needs to consistently exceed the expectations of owners and charter clients
  • Keep clients informed of operational issues and maintain open lines of communication with Maintenance and flight crews regarding aircraft status
  • Ensure all flight operations adhere strictly to the contractual obligations of Aircraft Owners, Block, and Retail Charter clients
  • Generate and deliver precise charter quotes for clients, brokers, and external operators
  • Proactively address and resolve client disputes or service hurdles
  • Analyze fleet utilization to maximize safety, profitability, and client satisfaction
  • Collaborate with the Chief Pilot and Logistics Coordinator to manage crew scheduling, briefings, and travel arrangements
  • Track weather, airport conditions, and real-time flight progress (Flight Following), coordinating ground services like fueling and towing as needed
  • Manage the accurate and timely processing of all owner and charter trip invoices
  • Maximize the use of FOS for scheduling, maintenance alerts, and accounting; utilize Flight Explorer and Microsoft Office to maintain data integrity

Record Keeping and Database Maintenance

  • Accurately record post-trip flight data in accordance with the Trip Completion Checklist
  • Identify aircraft discrepancies and promptly escalate them to the Maintenance team
  • Maintain strict adherence to FOS database management standards and protocols

Required Qualifications:

  • College Degree (Aviation or Business degree preferred)
  • Previous aviation or hospitality industry work experience
  • Experience with and an understanding of corporate aircraft operations and FAA regulations CFR 14 FAR 91 and 135

Preferred Qualifications:

  • FAA Dispatch Certificate or Pilot Certificate
  • Experience working with various flight software
  • Previous aviation industry specific work experience

Knowledge, Skills, and Abilities:

  • General knowledge of geography, aviation, meteorology, customer service, and corporate aircraft types and performance
  • Exceptional communication, writing, and teamwork skills
  • Solid computer skills, proficient in MS Office software
  • Attention to detail in composing, typing, and proofing materials, establishing priorities and meeting deadlines
  • Ability to work as a team member while meeting individual performance goals
  • Must be able to work in a fast-paced, demanding environment and demonstrate the ability to juggle and prioritize multiple tasks

Minimum Technical and Work Environment Requirements:

  • Internet Connection:
    • Primary internet connection with a minimum speed of 15 Mbps.
    • Backup internet connection with at least 10 Mbps.
    • Backup connection must be capable of supporting work during a power outage.

  • Primary Device:
    • Desktop or laptop equipped with at least:
      • Intel Core i5 (8th generation or newer), Intel Core i3 (10th generation or newer), AMD Ryzen 5, or an equivalent processor.
      • A minimum of 8 GB RAM.

  • Backup Device:
    • Must meet or exceed the performance of an Intel Core i3 processor.
    • Must be functional during power interruptions.
