A shareholder meeting is a highly visible milestone in a company’s annual corporate governance cycle, and our clients need it to run precisely as planned.
Each year, Computershare helps around 7,000 clients worldwide conduct successful shareholder meetings of all kinds – annual and special meetings alike. Increasingly, we help clients transition from traditional, in-person meetings to virtual meetings, or a hybrid of the two, so more of their shareholders can participate.
A role you will love
The Annual General Meeting is the flagship event in an Issuer’s financial calendar, and the smooth running of the meeting activities is of paramount importance and of high reputational value.
Reporting to the Service Delivery Operations Manager – the Meeting Services team, the Project Coordinator must follow all relevant company policies and procedures, whilst dealing with the relevant stakeholders to ensure the client’s requirements and expectations are met.
The Meetings Services EquatePlus team provides specialist support and project management to clients in the set-up and running of their employee shareholder meetings. It provides solutions to meet varying client needs whilst adhering to ASX Listing Rules, Corporations Act, client Constitutions and other legal requirements. This activity is high profile and critical to our client’s corporate calendar and strategic direction.
Some of your key responsibilities will include:
Ensure the successful delivery of the end-to-end meeting events and to confirm that all client and regulatory requirements are met within the EquatePlus System
Liaise and collaborate with internal and external stakeholders to plan and agree upon meeting logistics including digital communications, reporting requirements along with all tasks associated with the proxy tabulation, proxy voting within the EquatePlus System
Act as a subject matter expert for all matters on Meetings including AGMs, GM, Schemes, CDIs and any variables within the EquatePlus System
Work with multiple internal systems to ensure they have the correct information required for the successful delivery of the end-to-end Meeting event
Support the implementation of other internal projects that may include system enhancements, process improvement initiatives and regulatory changes
Ensure all tasks related to the meeting are properly documented and delivered to provide attendance support of all meetings when necessary
Able to multi-task during the peak season dealing with multiple clients to maintain the service levels expected from clients and Computershare
Perform other duties or tasks as assigned by management
