About this role

Community Options, Inc. is a national non-profit agency providing services to individuals with disabilities in 12 states. 
 
We are actively seeking a skilled Tenant Accounts Specialist in Newtown, PA. The Tenant Accounts Specialist manages accounts payable, bank reconciliations, general ledger entries, and financial reporting. You will handle billing inquiries, prepare budgets, variance reports, and account reconciliations, and ensure compliance with audit requirements. Additional duties include managing tax exemption applications and monthly vacancy reports. This is an onsite opportunity which also includes travel to our headquarters in Princeton, NJ for the first 90 days.

Responsibilities
  • Review and interpret lease agreements, amendments, and renewals to determine accurate CAM allocations and billing schedules for each tenant.
  • Evaluate late payment patterns to identify chronic delinquencies and escalate to Director of Revenue.
  • Track lease expiration dates and initiate timely renewal processes.
  • Maintain an up-to-date lease database and ensure all lease documents are filed properly.
  • Coordinate tenant move-ins and move-outs in accordance with lease terms.
  • Prepare and distribute accurate monthly rent invoices and CAM reconciliations in accordance with lease terms.
  • Calculate and bill CAM charges, including annual reconciliations and estimates.
  • Communicate CAM breakdowns and respond to tenant inquiries regarding charges.
  • Monitor and collect rent, CAM, and other tenant charges through accounting software.
  • Follow up on late payments and initiate collections protocols as needed.
  • Maintain accurate records of payments, delinquencies, and communications with tenants.
  • Generate monthly reports on receivables, lease expirations, and delinquency trends.
  • Serve as a point of contact for billing and lease-related tenant inquiries.
  • Collaborate with executive directors of the region, to ensure tenant satisfaction and resolution of disputes.
  • Ensure compliance with lease obligations and property policies.
  • Additional tasks and responsibilities may be assigned
Minimum Requirements
  • Associate’s or Bachelor’s degree in Business, Real Estate, Accounting, or related field preferred.
  • 2+ years of experience in lease administration, property management, or commercial real estate billing.
  • Strong knowledge of lease structures, CAM calculations, and rent billing practices.
  • Proficiency in property management software (e.g., Yardi, MRI, AppFolio, or Buildium).
  • Strong organizational and analytical skills with high attention to detail.
  • Excellent communication and customer service skills.
  • Ability to handle sensitive financial and tenant-related matters with professionalism and discretion.
