About this role

The Administrative Assistant provides high-level administrative support to ensure efficient functioning of the Provider Operations Department. This role involves the management of a variety of tasks including scheduling, communication, document preparation, scanning files, quality assurance activities and coordination of office activities. 

Essential Functions: 
  • Provide administrative support to Provider Operations leadership 
  • Manage calendars, schedule meetings, take minutes and track action items
  • Prepare and edit correspondence, reports, and presentations.
  • Maintain and organize filing systems (electronic), including scanning documents 
  • Quality assurance activities to include but not limited to, reviewing Provider Contracts, Provider Directory and Provider Manual.  
  • Support office operations including ordering supplies.
  • Coordinate internal and external meetings, including logistics and materials.
  • Maintain confidentiality of sensitive information.
  • Perform other administrative tasks as assigned.

Position Requirements: 

  • Education: High school diploma or equivalent.
  • License/Certification: N/A
  • Relevant Work Experience: At least year of administrative or office support experience.
Skills: 
  • Proficiency with Microsoft Office (Outlook, Excel, Word)
  • Excellent organizational skills and attention to detail
  • Knowledge of Medicaid Program 
  • Strong written and verbal communication
  • Excellent time management and follow up skills 
  • Customer service mindset
  • Ability to work independently and as part of a team  
  • Ability to maintain confidentiality and appropriately share information on a need-to-know basis

Work Conditions: 
  • Regularly requires walking, standing, stooping, bending, sitting, reaching, pushing, pulling and/or repetitive wrist/hand movements for various lengths of time throughout the day.
  • Ability to utilize computers and office equipment to complete daily work responsibilities.
  • Requires continuous, normal hearing and vision.
  • Regularly works inside in areas that are adequately lighted and ventilated.  Some fluctuation in temperature. No protective equipment routinely needed.
  • Must be able to adapt to continuous changes/demands of the job.


Philadelphia Residency Requirement:

  • The successful candidate must be a current Philadelphia resident or become a resident within six months of hire.
