POSITION TITLE: Property Tax Specialist

JOB STATUS: Full Time/Hourly

DEPARTMENT: Property Tax and Insurance Tracking

REPORTS TO: Property Tax and Insurance Tracking Team Lead

TRAVEL REQUIRED: None

WORK SCHEDULE: Hybrid - 4 days in the office- 1 day remote after training.

Pay: The expected hiring range for this position is from $42,420 to $49,905 plus additional bonus opportunity. The stated hiring range is based on experience, qualifications, and other relevant factors. Final compensation decisions will take into account a variety of considerations, including individual skills, internal equity, and organizational needs.

JOB SUMMARY

The Property Tax Specialist position is responsible for ensuring the accurate and timely processing of property tax payments, maintaining compliance with county-specific requirements, and supporting customer and vendor communications. This role involves retrieving and auditing tax bills, reconciling data from third-party platforms such as Cotality and AutoAgent, and managing loan sequences to ensure proper documentation and payment. The specialist also conducts research on property assessments, tax suits, levies, exemptions, and updates systems accordingly. Additional responsibilities include handling customer service requests, processing county-required forms, and supporting internal audits and account management. A strong understanding of tax regulations, attention to detail, and effective communication skills are essential for success in this role.

JOB FUNCTIONS

Property Tax Payment Processing

  • Processes payment to Tax Authorities to ensure timely and accurate payment of tax bills
  • Ensures individual county requirements are met regarding attached forms or documents as needed
  • Maintains a sequence of loans and follows-up in a timely manner
  • Utilizes Taxing Authority websites to retrieve tax bills and then audits the bill to ensure all tax projections are considered and set up accurately
  • Collaborates with Tax Authorities, third-party vendors, and customers to gather accurate tax information, facilitate timely payments, and maintain detailed account documentation.
    • Reconciles data from third-party platforms such as Cotality and AutoAgent to ensure tax files are processed with precision and efficiency, resolving discrepancies as needed.
  • Provides Tax Authorities with collateral lists for our customers so that they forward tax bills/data files to us rather than to the customer
  • Inputs updated information for tax suppliers and address changes
  • Researches accounts for new county requirements and tax exemptions and updates accordingly
  • Assists in reviewing penalty and interest write offs
  • Maintains knowledge of all company/department policies and procedures, as well as all applicable state and federal lending regulations

Research

  • Handles new loan set up and determines accurate tax projections in the Tax Tracking system along with verifying amounts for correct escrow payment consideration
  • Researches Property Assessments on 3rd party websites and updates the system for appropriate handling
  • Reviews returned checks for appropriate action
  • Analyzes Tax Suits in order to recommend payment to upper management
  • Investigates Tax Levies to ensure funds are coming from the appropriate accounts
  • Audits loans that are not registered with the county and communicates with the customer on how to appropriately register their home
  • Monitors all tax projections to ensure appropriate payment is made to the accurate tax authority

Correspondence

  • Completes all internal customer service requests in a timely and efficient manner
  • Connects with customers, 3rd parties, and vendors via phone and by email to educate or request necessary information
  • Processes County required forms such as Assessments, Refunds, Payoffs, Registration, Reallocation of Funds, and Moving Home

Account Management

  • Audits Government Servicing loans as assigned
  • Participates with reviewing and resolving internal and compliance audit exceptions
  • Monitors the Tax Tracking queue and assists with making updates as needed

REQUIREMENTS AND QUALIFICATIONS:

Education: High School Diploma

Years of Related Experience: 1-2 years

Licenses/Certifications:  

Knowledge, Skills and Abilities (KSAs):  

  • Basic computer skills with ability to type at least 25 wpm.
  • Ability to communicate effectively and efficiently via phone, email, and person to person.
  • Capability of gathering facts accurately, analyzing causes, evaluating alternate solutions, and arriving at sound conclusions on action to be taken.
  • Ability to manage multiple and/or conflicting responsibilities.
  • Great attention to detail and organizational skills.
  • Ability to work in a team environment.

QUALIFICATIONS:         

  • High School diploma or equivalent required, college preferred.
  • Basic computer skills with ability to type at least 25 wpm.

PHYSICAL DEMANDS:

  • Must be able to remain in a stationary position 75% of the time.
  • Will be constantly operating a computer and other office productivity machinery, such as a telephone, calculator, copy machine, and computer printer.
  • Will be communicating 90% of the time over the phone.
  • Will constantly work in a state-of-the-art indoor temperature controlled, sealed window office environment.
