Job Summary:

The Workforce Training and Development Specialist plays a key role in supporting the Workforce Training and Development Manager by coordinating, facilitating, and enhancing workforce training initiatives across the organization. This position ensures that staff receive high-quality, engaging learning experiences that foster professional growth, strengthen organizational performance, and uphold compliance with industry and regulatory standards.

The Specialist will design and deliver training in both individual and group settings, manage training logistics, assist with onboarding processes, and serve as a point of contact for training-related communication. This role requires strong organizational skills, attention to detail, and the ability to create dynamic, interactive training experiences that inspire and equip staff for success.

 

Duties and Key Responsibilities:

Training Coordination & Facilitation

  • Plan, schedule, and coordinate training sessions, workshops, and onboarding classes.
  • Facilitate in-person and virtual training programs in an engaging and professional manner.
  • Lead required trainings, including First Aid/CPR, Defensive Driving, Mindset, and other regulatory or professional development courses.
  • Deliver both group and one-on-one training tailored to staff needs.
  •  Ensure training environments are positive, inclusive, and supportive of adult learning principles.

 

Logistics & Administration

  • Manage all logistics for training events, including room reservations, technology setup, materials preparation, and participant communication.
  • Maintain and update the agency’s master training calendar and schedules.
  • Track attendance, monitor completion rates, and ensure training data is accurate and up-to-date across multiple learning management systems (LMS).
  • Prepare records and documentation to support agency audits, ensuring training compliance and certifications are consistently maintained.

Content Development & Communication

  • Assist in the creation and enhancement of training materials, manuals, presentations, and resources.
  • Draft and distribute training announcements, reminders, and follow-up communications.
  • Support Continuing Education Unit (CEU) event planning, including logistics, communication, and reporting.
  • Develop creative, innovative approaches to learning that increase employee engagement and knowledge retention.

Collaboration & Continuous Improvement

  •  Partner with program leaders, supervisors, and other departments to identify training needs, address concerns, and develop tailored solutions.
  • Collect and analyze staff feedback through surveys, evaluations, and discussions to measure training effectiveness.
  • Compile and present evaluation results and training metrics to the Workforce Training and Development Manager and leadership.
  • Recommend improvements to training content, methods, and delivery to strengthen program impact.
  • Collaborate with IT and administrative staff to resolve Zoho ticket requests related to training processes.

Minimum Qualifications:

  • Completion of bachelor’s degree in human resources, Business, Education, or a related field OR a minimum of 1-3 years of experience in training, HR, or administrative coordination role.
  • Strong facilitation, public speaking, and interpersonal communication skills.
  • Proficiency with learning management systems (LMS), Microsoft Office Suite, and  

virtual training platforms (e.g., Zoom, Teams).

  • Ability to manage multiple priorities, meet deadlines, and adapt to changing needs.
  • Obtain and maintain Instructor Certification and other relevant trainer certifications (preferred or required, based on agency need).

  • Communication Skills: Strong written and verbal communication to effectively engage staff, vendors, and leadership
  • Attention to Detail: Ensures accuracy in training schedules, materials, and records
  • Facilitation & Presentation: Comfortable leading group and one-on-one training sessions both in-person and virtually
  • Technological Proficiency: Skilled in learning management systems, virtual platforms, and troubleshooting technology issues during sessions.
  • Adaptability: Respond effectively to changing priorities and emerging training needs.
  • Collaboration: Works effectively with colleagues, trainers, and cross-departmental teams to deliver seamless training experiences.
  • Data & Reporting: Capable of maintaining accurate records and generating clear, timely reports for compliance and leadership.

Working Conditions:

  • The job will be based in office, some non-traditional hour including mornings, evenings, weekends, as needed, to meet the needs of the programs.
  • Travel to other centers within the organization will be required to provide technical assistance and conduct program outreach. State vehicle provided upon completion of Defensive Driving course.
