About this role

The Edmonton Police Service requires a Divisional Administrative Assistant with excellent organizational and interpersonal skills to provide administrative services to the West Division. Reporting to the Inspector, this Administrative Assistant will perform the following duties:

  • Compose and type memoranda, forms, letters, police occurrences, reports and responses to a variety of enquiries.
  • Prepare agendas, take and transcribe minutes at meetings and prepare follow-up reports.
  • Answer phone calls, update calendars and schedule for the Inspector and Admin S/Sgt. 
  • Provide support and manage CARM for the West Division.
  • Enter Annual Vacation for Squads.
  • Complete Transfers/loans and update Photo Book.
  • Intake and track Summons and Non-Summons Photo Violations. 
  • Schedule and plan events including catering when necessary.  
  • Track and manage Diary Date system for Photo Violations, PSB, Tracking Sheets, Briefing Notes, Memos, Criminal Flights and EPDP’S.
  • Draft Employee Recognitions and Awards. 
  • Code, classify and file material into confidential filing systems, including divisional and personnel files.
  • Provide backup coverage to the other administrative staff.
  • Creating and maintaining filing systems, diary date systems, email lists and divisional member lists, create and maintain schedules and business cards.
  • Sorting and distributing incoming mail and preparing outgoing mail.
  • Ordering supplies and maintaining supplies for all areas in the division.
  • Maintain all photocopiers for the division.
  • Entering subpoena’s, court cancelations and monitor incoming court emails.
  • Complete Visa statements for the Inspector and Admin S/Sgt.
  • Track, pay and send invoices to Finance.
  • Complete weekly PARS and TA forms for the Inspector.
  • Coordinate and book travel for work related travel and training. 
  • Performing other related duties as required and the ability to work well with others.
     


  • Completion of the twelfth (12th) school grade including business subjects related to word and information processing or completion of an appropriate certificate program from an approved business school/college, supplemented by training in basic microcomputer applications and a minimum of two (2) years diversified word and information processing experience.  OR  Completion of the twelfth (12th) school grade including business subjects related to data entry or completion of an appropriate certification program from an approved business school/college and a minimum of two (2) years diversified data entry experience including general office procedures.
  • Proficiency with all Microsoft Office suite products, particularly Excel. 
  • Data entry experience, with a high degree of accuracy.
  • Enhanced Computer-Aided Resource Management (CARM) super user training, INET Viewer, and ORGPLUS experience would be considered an asset.
  • The ability to work independently with minimal supervision as well as part of a team. 
  • Able to exercise sound judgment and to maintain effective working relationships.
  • Extensive experience in the creation and maintenance of databases would be an asset.
  • Experience in the preparation of performance management reports using CARM, iNetviewer, EPROS and IReport would be an asset.  

Hours of Work: 40 hours per week. Monday to Friday

Salary Range:  21B, Salary Grade: 007, $25.17 - $31.25 (Hourly), $2,013.90 - $2,500.50 (Bi-Weekly), $52,563.31 - $65,262.53 (Annually). 
The rates quoted are in accordance with a collective agreement between the Union and the City of Edmonton.
