A Brief Overview
The Service Support Assistant position provides support to various departments within Supply Chain. This position complies with all Supply Chain department specific policies & procedures and participates in the department specific Performance Improvement initiatives.

Essential Functions

  • Operates Mailroom: ◦ Responsible for the collection, processing and distribution of mail and internal correspondence. ◦ Follows a scheduled route to ensure all areas are properly serviced and that the mail is received and delivered in a timely manner. ◦ Responsible for processing all outbound mail ensuring that correct postage is affixed and determines the most cost-effective manner to utilize in posting the mail. ◦ Operates folder and inserting equipment to prepare all outbound statements to be mailed. ◦ Runs a high volume-duplicating machine for bulk copying functions with a 36-hour turnaround time.Maintains a forms control master file for all in house form duplication.Prints and pads all in house forms on demand.
  • Provides Supplies: ◦ Deliver any needed supply to any department on demand. ◦ Uses handheld to inventory each department supply area. Stock each department supply area to set par levels. ◦ Ensure all patient charge items are properly labeled with a yellow charge sticker. ◦ Maintain accurate supply inventory by ensuring any supply leaving Central Supply is charged to the correct department. ◦ Pick up supply credits. Credit patient and department for returned supplies. ◦ Pick up dirty instrument bin from departments and replace used bin with an empty bin.Deliver dirty instrument bin to decontamination room sterile processing. ◦ Unpack all supplies in the StoreRoom. Rotate stock using the first in, first out method. ◦ Responsible to maintain Central Supply in a clean manner. Keep floor clear of boxes and clutter.
  • Distribution Center: • Inspect and verify incoming supplies against packing slips or other documents, report shortages, and reject damaged supplies. ◦ Restock supplies for all Inventory locations. • Rotate inventory and checks inventory for outdates. • Assist with weekly cycle/inventory counts. • Demonstrates an understanding and ability in using the Materials Management Information System. • Utilize the handheld terminals to scan and replenish all inventory and par room locations daily. • Pull supplies for surgical patient case carts. • Promptly delivers properly requested supplies on a demand basis to the appropriate unit and/or location. • Picks and packs outgoing clinic orders into new cardboard or reusable totes and stages for courier pickup. • De-case nonstock orders from shipping cardboard and deliver to patient care areas. • Ensures any supply item being delivered is charged to the correct department as it leaves Central Supply. • Ensures all patient chargeable items are properly labeled with a yellow charge sticker. • Picks up supply credits from locations on nursing units and returns them to Central Supply. • Promptly completes all credits in the MMIS system to ensure proper credit to the department. • Notifies the Lead Inventory Control Specialist of inventory discrepancies in the Central Supply storeroom. • Advises the Lead Inventory Control Specialist of any adjustments needed on department’s par levels. • Restocks Central Supply bins daily. • Regularly communicates with medical staff on the floor regarding direct patient care items. • Participate in process improvement planning and execution.
  • Shipping/Receiving: • Receives, inspects, verifies, and accepts or rejects all supplies and equipment delivered to the institution. Transports various items to and from off campus locations, ensuring proper care of items handled during transport. • Using the ERP system, processes all necessary paperwork/documentation such as packing slips, bills of lading, receiving reports, and control copies, so that payments can be authorized. • Prepares and delivers supplies to the designated departments. • Works with Housekeeping in the proper disposal of confidential paper • Prepares all items for return shipment and coordinating this with the user department and with Purchasing • Prepares outgoing UPS and Federal Express mail for pickup. Reviews FedEx and UPS billing statements for payment. • Maintains files for Delivery tickets, MSDS sheets, Oxygen Purity reports, and Hazardous waste reports. • Assist in the training and onboarding of new team members by providing an overview of department-specific processes and procedures and shadowing new team members to offer practical insights and hands-on learning experiences.

Education Qualifications

  • High School Diploma or G.E.D. Required

Skills and Abilities

  • Knowledge of basic food safety principles.
  • Knowledge of basic hygiene principles.
  • Knowledge of basic chemical mixing procedures.
  • Knowledge of concept of “clean”.
  • Knowledge of basic mailroom/duplicating process.
  • Knowledge of medical/surgical supplies and equipment.
  • Knowledge and some experience of phone answering, dispatching, 2 way radio communication , computer services, call center and general healthcare.
  • Skill in reading, listening and interpersonal communication.
  • Skill in good customer service.
  • Skill in verbal communication.
  • Skill in basic computer usage.
  • Skill in safe food handling, storage, serving.
  • Skill in operation of basic cleaning equipment.
  • Ability to communicate effectively both verbally and in writing.

  • Ability to follow pre-determined daily routines and adjusting according to patient needs.
  • Ability to operate various pieces of computerized equipment such as a PC, postage meter, folder and inserter unit.
  • Ability to answer the phone in a professional manner.
