As a member of the team, the Medical Records Assistant collects, coordinates, maintains and screens requests for release of patient medical record information as per Children’s Clinics established policies & procedures.  Maintains strict confidentiality of patient information while delivering exceptional customer service.  Performs clerical work including sorting, assembling, and scanning documents utilizing an EMR/EHR system.

High school diploma or general education degree and a minimum of 1 year or 2 years preferred related medical records experience and or medical related training.   Bilingual (English/Spanish) and RHIT or RHIA certification preferred. Experience with EMR/EHR (NextGen) a plus.

SUMMARY

This position is responsible for maintaining confidentiality of records and ensuring they are complete, accurate, and adhere to Joint Commission, state, and federal standards. This position collects, coordinates, maintains and releases patient medical records as per facility policies and procedures.

ESSENTIAL FUNCTIONS

Ensures the completeness and availability of all patient medical records as needed

Maintains medical records functions to include pulling, copying, filing, assembling, and retrieving patient records

Ensures releases of information are HIPAA compliant.  Processes confidential releases of information and records the names in a confidential manner

Communicates with staff and providers

Performs other duties as required and assigned

KNOWLEDGE, SKILLS AND ABILITIES

Skill and familiarity with Practice Management Systems

Skill and knowledge of maintaining an EHR system; NextGen knowledge preferred

Ability to maintain confidentiality of patient data according to HIPAA regulations

Ability to assist clinical operations with all medical records processes

MINIMUM QUALIFICATIONS

Education:

High school diploma or general education degree (GED) required

Experience:

One year related experience and/or training required

Licenses and Certificates:

RHIT or RHIA certification preferred

FINGERPRINT CLEARANCE

Employees are required to maintain a current Department of Public Safety Level 1 Fingerprint Clearance Card. Proof of a current fingerprint clearance card must be received within 90 days of employment.
