The Project coordinator is responsible for ensuring the smooth operation, maintenance, and safety of all building systems, including plumbing, electrical, and HVAC. This role involves developing and managing preventative maintenance schedules, addressing facility-related issues, and ensuring compliance with safety regulations. The Project coordinator oversees vendor relationships, negotiates contracts, and manages budgets to optimize facility operations. They also lead facility improvement projects, provide employee support, and coordinate emergency response plans. This position requires strong technical expertise, leadership, and organizational skills to maintain a safe and efficient work environment. Experience in Plumbing, Electrical, and HVAC is preferred.

DUTIES AND RESPONSIBILITIES:

  1. Manage the daily operations of plumbing, electrical, HVAC systems, and general facility maintenance.
  2. Develop and implement preventative maintenance schedules to reduce downtime and ensure equipment reliability.
  3. Perform routine inspections to ensure Project comply with safety, health, and building regulations.
  4. Source, evaluate, and manage relationships with vendors and contractors.
  5. Oversee contractor work to ensure compliance with company standards and project specifications.
  6. Negotiate contracts to secure cost-effective and high-quality services.
  7. Develop and manage the facility maintenance budget, including forecasting and tracking expenses.
  8. Identify cost-saving opportunities without compromising quality or safety.
  9. Prepare financial reports and present recommendations to senior management.
  10. Serve as the primary point of contact for facility-related issues raised by employees.
  11. Address maintenance requests promptly and provide clear communication on resolution timelines.
  12. Ensure the workspace is functional, safe, and conducive to employee productivity.
  13. Plan and execute facility improvement projects, including upgrades, renovations, and expansions.
  14. Develop project timelines, monitor progress, and ensure completion within budget and deadlines.
  15. Collaborate with cross-functional teams to align projects with organizational goals.
  16. Develop and implement emergency response plans for facility-related incidents.
  17. Respond to and manage emergencies, including system failures, power outages, and natural disasters.
  18. Ensure compliance with safety and emergency protocols, including training staff as needed.
  19. Organization skills for vendors, budgets and people management.
  20. Other duties as assigned


Requirements

EDUCATION / TRAINING AND EXPERIENCE:

  1. Proven experience as a Project Coordinator or in a similar role.
  2. Strong knowledge of facilities maintenance operations and working with outside vendors
  3. Strong analytical and problem-solving abilities.
  4. Excellent communication and negotiation skills.
  5. Ability to work under pressure and meet deadlines.
  6. Experience in the maintenance industry is preferred.
  7. Previous experience in these industries is preferred: Plumbing, Electrical, HVAC, Handyman Services
