Role Overview



The Travel & Accommodation Administrator will provide administrative and coordination support for all travel and accommodation requirements across the business. The role ensures that employees and site teams are mobilised efficiently, bookings are accurate and cost-effective, and all related records and systems are maintained to a high standard.



Key Responsibilities

 

Administrative & Systems Support

  • Maintain accurate records of all travel and accommodation bookings
  • Update internal systems, trackers, and apps with current information
  • Prepare and manage documentation related to travel, accommodation, and mobilisation
  • Ensure all records are correctly filed and named within company systems (e.g. Bamboo, Logistics sharepoint)

 

Travel & Accommodation Coordination

  • Coordinate accommodation bookings in line with project requirements and company standards
  • Manage amendments, cancellations, and extensions to bookings as required
  • Liaise with accommodation providers, travel suppliers, and internal stakeholders
  • Book and manage travel arrangements including flights and ground transport

 

Cost Control & Compliance

  • Track costs against budgets and flag variances where appropriate
  • Process invoices and supporting documentation for approval
  • Ensure bookings comply with company policies and procedures

 

Communication & Support

  • Act as a point of contact for travel and accommodation queries
  • Communicate clearly with site teams, operations, and recruitment
  • Escalate issues, risks, or delays to the Head of Logistics & Accommodation

 

General Duties

  • Support continuous improvement of travel and accommodation processes
  • Assist with ad-hoc logistics and operational tasks as required
  • Maintain confidentiality and comply with data protection requirements

Experience

 

  • Previous experience in an administrative, coordination, or support role
  • Strong organisational skills with high attention to detail
  • Ability to manage multiple bookings and deadlines simultaneously
  • Confident communicator, both written and verbal
  • Competent in Microsoft Office (Excel, Word, Outlook)
