Primary Duties and Responsibilities
As a vital part of the team, this position plays a key role in ensuring seamless logistics operations. Below are the primary responsibilities:
Transportation Management & Coordination
Edit and manage jobs (Exports/Imports) within the Transportation Management System (TMS), performing detailed “Routing Checks” to optimize transport modes (airplane, car, train, etc.).
Coordinate driver assignments for delivery and pickup of shipments at offices and freight companies.
Oversee and prepare collected/received shipments for EUL-route processing, including pre-advising shipments.
Monitor shipments in transit, addressing any deviations from the plan with flexibility and efficiency.
Continuously review TMS notes and handle pre-advised shipments with precision.
Conduct “Post Flight Checks” to verify planned departure and arrival times of flights.
Manage internal debits and credits (Clearinghouse) to ensure financial accuracy.
Operational Excellence
Identify critical information and act promptly (e.g., All Stations Emails, Holiday Lists, Ops-Memos).
Ensure compliance with all relevant regulations (ADR/DGR/IATA) and applicable laws.
Effectively utilize and maintain technical tools such as TMS, OpStar, Cubixx, X-act, and Flight Monitor.
Manage the sorting area, including packaging, supplies, and cooling media inventory.
Foster strong communication with national and international World Courier stations and agents.
Build and maintain relationships with key contractors and transport partners, including airlines, handling agents, rail operators, customs officials, veterinarians, and suppliers.
Preliminary Actions
Prepare and precondition packaging materials and cooling media for shipments.
Mark and label shipments in compliance with all applicable regulations.
Prepare and procure all necessary documentation (e.g., HWB, MAWB, import/export permits, live animal certificates, dangerous goods declarations, etc.).
Verify transport documents to ensure compliance with ADR/IATA-DGR standards.
Customs Formalities
Handle all customs formalities for both import and export, including:
Inspection and procurement of required paperwork (e.g., permits, customs documents).
Calculating customs duties and taxes, and entering them into WorldStar.
Submitting customs declarations (electronically or via internet) at the responsible customs office using systems like ATLAS/NCTS (export declaration), verbal customs declaration (low-value clearance), or CARNET procedures.
