About this role

The Project Manager is responsible for the day-to-day coordination, compliance, and implementation of the BSCC-funded Beacon of Hope initiative under Catholic Charities and the Partnership for Re-Entry Program (PREP). This position ensures that all program activities, expenditures, and reports align with BSCC grant requirements, Catholic Charities fiscal procedures, and PREP’s mission of providing transformative reentry support to returning citizens.

The Project Manager will serve as the central liaison between PREP, Catholic Charities, BSCC representatives, and community partners, ensuring timely documentation, budget tracking, data reporting, and program delivery.

Essential Duties and Responsibilities:

  • Coordinate all activities funded under the BSCC grant, including participant support, warm-handoff services, transitional resources, and case management coordination.
  • Track program milestones, participant outcomes, and deliverables to ensure compliance with BSCC performance measures.
  • Develop and maintain project work plans, implementation schedules, and internal progress trackers.
  • Monitor expenditures to ensure alignment with the approved BSCC budget and grant conditions.
  • Prepare justification memos and assist with prior-approval requests (e.g., stipends, incentives, etc.).
  • Collaborate with Catholic Charities’ finance team to process reimbursements, reconcile expenditures, and prepare monthly BSCC invoices.
  • Maintain detailed records for audit readiness in accordance with BSCC and Catholic Charities fiscal guidelines.
  • Compile monthly and quarterly progress reports, including demographic and fiscal data.
  • Maintain open communication with the BSCC Field Representative and respond promptly to requests for documentation.
  • Support the Executive Director in preparing site visit materials and performance monitoring documentation.
  • Coordinate with partner agencies, mentors, and volunteers to ensure consistent program delivery and data collection.
  • Oversee part-time staff or volunteers assigned to BSCC-funded activities.
  • Schedule and facilitate internal coordination meetings to align program activities with PREP’s broader reentry initiatives.
  • Support communication and logistics for program events, training, or participant outreach activities.

 Education and/or Experience 

  • Bachelor’s Degree in Public Administration, Social Work, Criminal Justice, or related field.
  • Minimum 3 years of experience managing government or foundation-funded programs; BSCC or state grant experience strongly preferred.
  • Strong understanding of compliance documentation, budgeting, and fiscal reporting.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail; ability to manage multiple priorities.
  • Proficiency with Excel, Google Workspace, and general database management.
  • Commitment to restorative justice, reentry services, and PREP’s mission.
