Healthy Families provides participants with information and referrals to entitlement programs, education, employment assistance, access to legal assistance, housing, transportation, and mental/health services, including HIV/AIDS prevention and treatment. Staff arrange appointments for clients, conduct assessments, screen for benefits and entitlements, complete application forms, and assist with English/Spanish translations.

STATEMENT OF THE JOB:

Under the direction of the Program Manager, the Social Service Aide will serve as a program aide to the manager and is responsible to ensure that all administrative duties regarding the program are accurate and reported in a timely fashion.

  • Responsible to perform administrative tasks associated with client intake, orientation, language assessment and program enrollment.
  • Perform all clerical and simple bookkeeping duties (check requests, files and ledgers, fax, correspondence etc.)
  • Complete data entry of client intake, documentation, meeting minutes, and program inventory.
  • Maintain complete folders on clients; maintain documentation of client outcomes and ensure files are in compliance
  • Respond to client inquiries (by phone and in person) about program/service offerings and office reception duties.
  • Organize resources for workshop, including program inventory
  • Maintain records on client’s outcome.
  • Oversee record keeping, report development, and databases for the program, in keeping with expectations of funders/agency.  This includes learning the DYCD database and assisting with client’s enrollment and ensures follow up services and surveys are administered to all clients.
  • Identify client’s needs and concerns to ensure that referrals are made and monitored to appropriate internal and external services as required through crisis intervention, advocacy, and group work methods to meet the consumer/family needs.

 

QUALIFICATIONS:

  • High School Diploma or GED
  • Two years’ experience working in client service or a non-profit setting.
  • Familiarity with working within a program that requires contract compliance.
  • Bilingual (English/Spanish Required)
  • Ability to travel and transport documents from one site to another.
  • Able to travel throughout the five boroughs as needed.
  • Must be able to work flexible hours, including some evenings and Saturdays.
