Overview

Our Early Childhood Before and Afterschool Program in Elizabeth, New Jersey is seeking an energetic, organized, and experienced Administrative Assistant to support daily program operations and ensure efficient administrative services. 


Responsibilities

The essential duties and responsibilities include, but are not limited to, the following: 

  • Coordinate and facilitate program applications and enrollment processes 
  • Manage, maintain, and enter participant and family data into the program database 
  • Create, process, and distribute correspondence and program communications 
  • Receive, process, and distribute incoming mail, emails, and faxes 
  • Maintain program calendars, and coordinate special events 
  • Process and coordinate accounts receivable and accounts payable invoices 
  • Serve as a liaison with community provider agencies to facilitate subsidized childcare applications 
  • Provide customer service support to families, staff, and community partners 
  • Perform other related duties as assigned 

 


Qualifications

Education and Experience 

  • HS Diploma, some college preferred 
  • Minimum of three (3) years of administrative experience required 
  • Strong organizational, customer service, and communication skills required 
  • Proven ability to type at least 55 words per minute 
  • Ability to work well under pressure, take initiative, and work independently 
  • Strong written communication skills required 
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) required 
  • Excellent attention to detail and ability to work in a fast-paced environment 
  • Flexible and able to meet deadlines 

 

Other Job Requirements 

  • Bilingual (Spanish required) 
  • Demonstrates a positive, enthusiastic, and professional attitude toward internal and external customers 
  • Flexible and adaptable to changing program needs 
  • Working knowledge of Microsoft Office preferred 
  • Must be available to work during July and August.   
  • Position hours: Monday – Friday, 8:00 a.m. – 4:00 p.m. 

 

Pay is $23 per hour


Pay Rate

USD $23.00 - USD $23.00 /Hr.
Physical Requirements

  • Light lifting, walking, and climbing stairs required 
  • Work is conducted in school-based settings
