How You’ll Help Transform Healthcare:

HOURS: Flexible time- 36 hours per week. All hours must be completed during a Sun-Sat work week.

Licensure, certification, and/or registration: Certified Oncology Data Specialist, ODS required.

As a team member of the Carilion Clinic Tumor Registry, is responsible for medical record analysis, data abstraction, and overall data management specific to the cancer/tumor patient. Must perform functions consistent with the requirements set by the Carilion Cancer Committee and the American College of Surgeons (ACoS) Commission on Cancer (CoC). Participates in activities necessary for the ACoS' CoCaccreditation of Carilion Clinic's Cancer Program(s).
 

  • Uses technical expertise to execute all data management activities with focus on maintaining Cancer Registry database through data abstraction according to the ACoS and the Carilion Cancer Committee requirements. Utilizes expertise in Facility Oncology Registry Data Standards (FORDS) Coding, American Joint Committee on Cancer (AJCC) Staging, Surveillance, Epidemiology and End Results (SEER) Summary Staging, Collaborative Staging, ICD -9 and ICD-O3 Coding principles, and an excellent working knowledge of medical terminology and human anatomy and physiology in assuring accuracy and consistency of data.
  • Provides staff support in organization and coordination of Medical Staff Oncology Conferences and maintains conference minutes according to ACoS guidelines. Assures appropriate Continuing Medical Education (CME) documentation by coordination of conferences and providing conference outcome information to the CME Department.
  • Using analytical skills and statistical tools, may design and/or generate registry-related reports for the medical and other professional staff. Reporting includes utilizing the METRIQ ® report generator and computer software including, but not limited to, word processing, spreadsheet, visual software and database in presentation of the data.
  • Participates in staff and community education and outreach activities as needed and provides administrative support to the education activities of the Carilion Cancer Committee.
  • Provides administrative support and organization for the Carilion Cancer Committee according to ACoS guidelines. Includes attendance at Cancer Committee meetings as needed and maintaining quality reporting of current ACoS guidelines.
  • Uses medical terminology, human anatomy and physiology, and health information knowledge in reviewing medical/health records to determine and document clinical and vital condition of patients and the progression and/or treatment of their disease process.
  • Uses written, verbal, and computer-based communication in searching for follow-up status on cases, pursuing cases to completing utilizing sources such as other hospitals, and medical offices. Assists in maintaining registry follow-up on database per ACoS CoC guidelines.
  • Utilizes computer expertise in the use of all approved Carilion data/information systems in place at any given time including, but not necessarily limited to: EPIC EMR, METRIQ, ARIA.
  • Maintains Oncology Data Specialist certification with National Cancer Registrars Association with maintenance fees, clock hours and continuing education requirements.
  • Demonstrates technical skill to abstract according to Virginia Cancer Registry quality requirements and American College of Surgeon accreditation standards.

What We Require:


Education: Associates degree in medical terminology and human anatomy/physiology are required. Completion of formal education program for CTR strongly encouraged.

Experience: Minimum of 2 years prior Cancer Registry, Health Information Management records system, Allied Health Profession, HIM coding, or similar experience.

Licensure, certification, and/or registration: Certified Tumor Registrar (CTR) required.

Other Minimum Qualifications: Thorough understanding of human anatomy & physiology and disease processes; computer applications including word processing, spreadsheet, and medical records database/system; accurate keyboarding skills; verbal & written communication skills on a level to work actively and effectively with medical and professional staff; team building and problem solving skills. Knowledge of the use of internal e-mail system for time management and communication functions.
