WHAT’S THE TEAM LIKE 

The Executive Assistant Team at Calgary Airports is the backbone of the Executive Office, ensuring seamless coordination across leadership functions. This role will provide direct administrative and strategic support to Rob Bachart, Chief Real Estate Officer, and Balazs Bogats, Chief Commercial Officer. By managing complex workflows and anticipating needs, the Executive Assistant enables both leaders to focus on strategic initiatives and organizational priorities.

The team is small yet highly collaborative, valuing partnership, adaptability, and strong communication. They coordinate complex calendars, organize key meetings, and facilitate critical communication channels that keep the organization running smoothly. Their work strengthens executive effectiveness and contributes directly to Calgary Airports’ operational and strategic success. 

WHAT ARE SOME OF THE RESPONSIBILITIES   

  • Manage the assigned Executive’s calendars, including scheduling meetings, appointment, conference and travel arrangements.  

  • Prepare and organize schedules, documents, reports, and presentations for executive and Board meetings.  

  • Act as a primary point of contact between the executives and internal/external stakeholders, ensuring effective communication.  

  • Prepare, process, and submit expense reports for the executives.  

  • Track and reconcile expenses, ensuring reports and receipts are submitted accurately and on time.  

  • Utilize the corporate credit card in alignment with Calgary Airports policy. 

  • Book meetings, attend and take meeting minutes and action lists, coordinate regarding the follow up of action items. 

  • Handle incoming/outgoing correspondence through calls, text, Microsoft Teams and email. 

WHAT DO YOU NEED TO BRING 

  • You’ll need to be eligible to obtain and maintain a RAIC, don’t worry – we’ll help you through this! For more details, check out: RAIC Program and Application Information 

  • Completed diploma in a related field, relevant professional experience may be considered in lieu of formal education.  

  • 4 to 6 years of progressively responsible experience providing executive-level administrative support. 

  • A proven ability to plan and organize yourself and others. you will be constantly ‘one step ahead’ working to thoughtfully pre-empt and fulfil the Executive’s needs. 

  • Demonstrated strong professional communication skills, both verbal and written, with a focus on accuracy of spelling and grammar. 

  • Proficiency in Microsoft Office Suite including Outlook, Word, Excel, PowerPoint and SharePoint. Demonstrated ability to utilize computer programs to create professional reports and documents.

  • Bilingual in English and French
