We are looking for an Office Operations Associate to be the central nervous system of our Chicago hub. At CADDi, you’ll help build and scale our US operations from the ground up. How You Will Drive Impact

  • Operational Command Center: Serve as the go-to expert for Chicago office operations. Manage vendor relationships, building management, and daily facility needs to ensure a seamless work environment.
  • Event & Catering Management: Spearhead the planning and execution of office events. This includes managing catering for team lunches and special events, coordinating office decor, and ensuring a vibrant onsite experience.
  • Facilities & Logistics: Lead office maintenance, furniture setup, and seating arrangements. Oversee the "daily vitals," including kitchen stocking, printer management, and complex shipping/receiving for events.
  • Corporate Housing Management: Manage housing contracts, coordinate maintenance requests, and support expansion plans for our corporate housing portfolio.
  • Executive Support: Provide support to the CEO, including meal coordination/ordering, local logistics, and assisting with high-priority administrative tasks.
  • Administrative Backbone: Support the Sales, Finance, and Legal teams by mastering workflows and managing critical documentation to accelerate business transactions.
  • People & Culture Champion: Enhance the employee experience by coordinating recruiting logistics (scheduling and candidate communication) and supporting internal culture initiatives.
  • General Support: Perform other operational or administrative tasks as assigned to support the evolving needs of the Chicago office and leadership team. (e.g. Recruiting Operations, Sales Operations, etc.)
  • Experience: 4-5+ years of administrative or office operations experience, preferably in a fast-paced startup or tech environment.
  • Operational Skill: A proactive approach to problem-solving and a high attention to detail regarding physical space and organization.
  • Tech Fluency: Proficiency in Google Workspace (Gmail, Calendar, Drive, Docs, Sheets) and an ability to manage complex spreadsheets.
  • Communication: Strong verbal and written skills with the ability to build professional relationships across all levels of the organization.
  • Reliability: A valid driver’s license is required for local tasks such as vehicle maintenance management.
