Key Responsibilities:
β Run weekly operating cadences with supervisors: capacity planning, WIP control, backlog review, and escalations.
β Own throughput and backlog health across practice lines (T-Visa, VAWA, Removal Defense), including setting clear priorities and SLAs.
β Maintain dashboards to track cycle times, aging, rework/defect rates, SLA adherence, and internal deadline performance.
β Standardize workflows, handoffs, checklists, and quality gates to reduce errors and rework.
β Coordinate cross-team dependencies (attorney review, records, intake, mailing) and resolve bottlenecks through structured escalation.
Continuous Improvement (CI) & Process Optimization:
β Maintain a prioritized improvement backlog and select high-impact work based on data.
β Facilitate problem-solving sessions (root cause analysis, countermeasures, pilots) with clear ownership and deadlines.
β Document and standardize validated improvements into SOPβs, checklists, and training materials.
β Limit active improvement initiatives to 2-3 at a time; maintain a disciplined, data-driven, operating model.
AI & Automation
β Apply AI tools to operational use cases (summarization, drafting assistance, translation scaffolding, checklist generation) where approved.
β Ensure AI use complies with confidentiality and tool-approval policies.
β Partner with PMO/Technology on automation opportunities; own operational requirements, rollout, adoption, and controls.
Decision Rights & Boundaries
Decision Authority:
β Owns day-to-day operational execution and cadence for supervised teams.
β Can define and enforce SOPs, checklists, templates, and quality gates (attorney sign-off required for legal adjustments).
β Escalates missed SLAs/approvals and requests tradeoff decisions when demand exceeds capacity.
β Partners with PMO/Technology for builds and operational adoption.

β Does not provide legal representation or make final legal strategy decisions.
β Not a primary software developer or system administrator.
β Not responsible for unrelated
Required Experience & Skills
β Experience in immigration operations or high-volume, high-compliance legal workflows.
β Demonstrated continuous improvement experience (Lean/CI principles).
β People leadership: coaching supervisors, setting expectations, and driving accountability.
β Strong quantitative, analytical, and systems-thinking skills.

β Clear priorities and predictable workflow with fewer surprises.
β Reduced backlog aging and improved throughput.
β Lower defect/rework rates and fewer preventable returns.
β Higher SLA and internal deadline adherence.
β Supervisors consistently following routines with visible metrics.
Primary Metrics (tracked weekly/monthly):
β Cycle time by workflow stage and team
β Backlog aging and volume (including over-SLA counts)
β Rework/defect rate (returns, missing items, quality issues)
β Paralegal review SLA adherence and queue health
β On-time completion against internal deadlines
