The Receptionist serves as the first point of contact for the organization and plays a critical role in representing Boudreau Pipeline Corporation to employees, visitors, clients, and business partners. This position provides a professional, welcoming experience while managing front desk operations, incoming communications, and general administrative support.

Responsibilities

Front Desk & Organizational Representation

  • Greets all visitors and follows company visitor protocols.
  • Serves as the primary point of contact for incoming guests, applicants, vendors, and delivery services.
  • Maintains visitor logs and ensures proper check-in procedures are followed.
  • Represents the organization professionally and positively at all times.

Executive Communication & Business Intelligence

  • Serves as a key communication conduit to the President by responsibly escalating relevant information such as:
    • Operational concerns or emerging issues.
    • Employee or visitor feedback.
    • Safety, facility, or compliance-related observations.
    • Potential business opportunities or client inquiries.
  • Exercises sound judgment and discretion in determining what information should be elevated.
  • Maintains confidentiality and professionalism in all executive-related communications.

Phone & Communication Management

  • Answers incoming calls and routes them to appropriate departments or personnel.
  • Screens calls and visitors when necessary and ensures timely follow-up.
  • Takes accurate messages and tracks unresolved items.

Mail, Shipping & Office Coordination

  • Receives, sorts, scans, and distributes incoming mail.
  • Coordinates outgoing mail and courier services (USPS, FedEx, UPS, etc.).
  • Tracks express deliveries and ensures proper routing.

Office Operations & Administrative Support

  • Orders and maintains office supplies and forms; monitors inventory levels.
  • Submits invoices and packing slips to Accounting for processing.
  • Assists with administrative tasks such as scanning, filing, document control, and record organization.
  • Supports Accounting by preparing checks for mailing or courier delivery.
  • Coordinates with housekeeping, facilities, and vendors to maintain a professional office environment.
  • Maintains office communication logs, notices, and internal postings.

Translation & Language Support

  • Translates basic documents, emails, and phone calls between English and Spanish.
  • Provides language support for visitors, employees, and leadership as needed.

General Support

  • Assists with internal meetings, company events, and executive visits.
  • Performs other administrative duties or special projects as assigned.

Qualifications

  • High school diploma or equivalent required; some college preferred.
  • 1–3 years of experience in a receptionist, administrative, or customer service role.
  • Bilingual (English/Spanish) preferred.
  • Strong verbal and written communication skills.
  • High level of professionalism, discretion, and emotional intelligence.
  • Ability to interact confidently with executives, clients, and field personnel.
  • Strong organizational and multitasking abilities.
  • Proficient in Microsoft Office (Outlook, Word, Excel).
  • Demonstrated ability to handle sensitive or confidential information appropriately.

Pay Range: $19.00-$25.00/hour based on experience.
