We are looking for an Executive Assistant to join our dynamic Bombardier Engineering team in Montreal. This role is an excellent opportunity for someone who is passionate about providing high-level administrative support and thrives in a fast-paced environment. The candidate will report directly to a Vice President. This responsibility offers a unique chance to gain extensive experience and insight into the operations of our engineering team.
• Coordinate the agenda of the Vice President, Functional Engineering and support the team by ensuring requirements are met (required participants, meetings logistic and required documentation) and schedule/coordinate meetings (internal and external);
• Accomplish administrative tasks, which require a thorough comprehension of the business activities and practices.
• Manage day-to-day activities (review emails, phone calls, look for approval requests, etc.), ensuring he is kept up to date on requirements and timelines.
• Make travel arrangements and prepare expense reports for the Vice President and Directors and provide assistance to the team members as needed. Verify team’s expense claims in accordance with company policies.
• Ensure follow up on activities and files.
• Compile and update data for various reports
• Create and maintain databases / lists.
• Make decisions and recommendations within the authorized guidelines and procedures.
• Show analysis skills and initiative to plan and organize the assigned tasks.
• Have good knowledge of the Company's policies and procedures to provide support to the team.
• Write internal and external correspondence in both French and English.
• Perform other duties as assigned.
• You have a College Degree in administration or the equivalent and a minimum of seven (7) years in a similar position.
• You possess an excellent knowledge of MS Office, Word, PowerPoint and Excel and Outlook.
• You are fluent in French and English, both verbally and in writing.
• As a team player, you are known for your dynamism, strong interpersonal relations, judgment and organization skills.
• You are able to work under pressure and can manage several priorities simultaneously.
• You have a great deal of initiative and can work with minimum supervision, involving coordination and organization of work methods for the assigned duties.
• You can maintain strict confidentiality when required to do so.
• You are a team player.
• You have a good knowledge of SAP tool, SharePoint, Teams, oneDrive and other modern collaboration tools (asset).
