Job Description:

As a Material Control Coordinator at BW Papersystems, you would ensure critical parts are quickly delivered to customers, minimizing downtime for their corrugated equipment. You would serve as a vital link between customer needs and our parts fulfillment process, coordinating internal resources to meet our 10-day delivery target. You will need to prioritize deadlines, communicate clearly, and maintain composure which is integral to our customer satisfaction and operational success.

Job Responsibilities:

  • Update Customer Service Representatives regularly on order progress and status to ensure alignment between customer expectations and delivery timelines.
  • Monitor and manage stock levels of parts for corrugated industry equipment, identifying when reordering is necessary.
  • Process customer orders for parts from around the world, with the goal of fulfilling most orders within 10 days.
  • Communicate effectively with both internal teams and external customers to resolve problems quickly and keep all parties informed.
  • Maintain detailed notes on order status in the inventory tracking system to ensure accurate information is always available.
  • Check and respond to customer emails in a timely manner, participating in the rotation for managing the shared inbox.
  • Remain calm and focused in a fast-paced environment with multiple simultaneous demands and activities.
  • Verify received items against purchase orders and maintain accurate inventory counts.
  • Stay informed about engineering or product changes that affect parts inventory and adjust ordering accordingly.
  • Support customers with parts needs for equipment, including legacy systems that may be decades old, ensuring minimal downtime for their operations.

Education and Experience Requirements:

  • High School Diploma or Equivalent
  • Strong written and verbal communication skills
  • Comfortable navigating Microsoft Excel
  • Must have excellent people skills
  • Must have good problem-solving skills
  • Proficient in customer relationship building
