Our people division is growing, and we are looking for an Administrative Assistant to join the Gold Quarry team. The Administrative Assistant will create requisitions for items and services on behalf of the operations/maintenance departments; assist personnel in learning to use various Operating Systems; update spreadsheets and develop reports in various Operating Systems; provide basic administrative support to operations and other departments; coordinate efforts for updating and revising divisional policies and procedures; provide support for operations/maintenance document systems inspections and audits; support management with administration; perform other duties as assigned.

Responsibilities:

 

As an Administrative Assistant, you will be responsible for:

  • Create requisitions for parts based on the needs of the operations/maintenance department.

  • Review, approve, and submit invoices for payment.

  • Update and maintain the status of work requisitions in SAP.

  • Input SES for vendor orders into SAP

  • Organize and schedule appointments and meetings

  • Attend meetings and document minutes

  • Collate and distribute mail

  • Assist personnel in learning to use certain functions in Element and SAP as needed.

  • Manage/file statutory documentation including work area exams, equipment inspection, etc.

  • Provide basic administrative support operations and maintenance departments.

  • Coordinate projects assigned by supervisors

  • Support other administrative assistants within the division

  • Other duties as assigned.

            

Qualifications:

  • Experience with word processing and technical writing skills preferred
  • Familiarity with electronic filing systems preferred
  • Ability to work with minimum supervision required
  • Verifiable experience using Microsoft Office products required
  • Excellent verbal and written communication skills required
  • Demonstrated ability to communicate and interact effectively with a wide variety of people required
  • Ability to work safely and in an environmentally friendly manner required
  • Demonstrated ability to perform the essential functions of this job required
  • Two (2) years of office/clerical experience preferred
