This position is responsible for managing all incoming and outgoing patient referrals to ensure timely, accurate, and efficient coordination of care at the client site. This role supports both clinical teams and patients by verifying insurance requirements, scheduling appointments with internal providers, and maintaining documentation within the Electronic Health Records (EHR) systems. The MSA Referral Coordinator serves as a key communication link between providers, patients, and therapy clinics.
We are seeking candidates with experience in a healthcare, medical office, or scheduling environment with working knowledge of insurance verification, authorizations, and referral processes.
• Process all new physical therapy referrals and physician scripts, confirming diagnosis, treatment recommendations, and required documentation.• Communicate with patients regarding referral status, insurance details, and upcoming physical therapy appointments.• Schedule initial evaluations and work with Office Specialist and other office staff to ensure appropriate therapist assignment and appointment availability. • Track referral progress and follow up on outstanding or incomplete referrals. • Maintain accurate referral records, scanned documents, and communication logs within the EHR.
Minimum EducationRequired:• High School diploma or equivalent
Minimum Experience Required:• 2 years of experience in a healthcare, medical office, or scheduling environment.• 1 year working knowledge of insurance verification, authorizations, and referral processes.Preferred:• 1 year experience with PT referrals, physician scripts, and insurance authorization processes.• 1 year experience with therapy-related authorizations and Medicare/commercial insurance rules.• Knowledge of medical terminology.• Familiar with healthcare information systems such as EPIC, NextGen, etc.
Knowledge Skills and Abilities• Strong communication skills with the ability to support both patients and clinical staff.• Excellent organizational skills with the ability to manage multiple referrals and deadlines.• Proficiency with electronic health records and Microsoft Office Suite.• High accuracy in data entry, documentation, and recordkeeping.• Time management and prioritization with competing referral deadlines.
