Job Description:

Salary Range: $58,000 - $70,000 per year; DOE

Mary Lou Fulton College seeks a professional administrator for the position of Executive Administrative Support Specialist.

This role is crucial for managing the daily business affairs for college executives, handling sensitive information, and serving as a key liaison for internal and external communications. The ideal candidate is a proactive problem-solver with exceptional organizational and communication skills, capable of managing a dynamic workload in a fast-paced academic setting.

Essential Duties:

  • Executive Support: Manages daily business affairs for multiple executives, including the intricate scheduling and maintenance of their calendar.
  • Scheduling and Coordination: Coordinates and schedules meetings, ensuring all necessary parties are engaged and informed.
  • Travel Management: Coordinates and arranges business travel, including itineraries and logistics.
  • Confidential Materials: Compiles, prepares, and handles confidential and sensitive materials with the utmost discretion.
  • Project and Event Coordination: Coordinates a wide range of projects and special events, ensuring successful execution from start to finish.
  • Supervisory: May supervise daily workflow of support staff and student workers, in coordination with the Executive Assistant to the Dean.
  • Special Assignments: Performs a variety of special assignments and tasks as directed.

  • Knowledge of ASU academic procedures and organizational structure.
  • Skilled in developing and maintaining effective working relationships with diverse groups.
  • Experience coordinating and organizing meetings and special events.
  • Experience composing and editing written and presentation materials.
  • Knowledge of management and supervisory principles and practices.
  • Experience making administrative and procedural decisions and judgments on sensitive, confidential issues.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Suite, Dropbox, and shared drives.
  • Strong organizational, time management, and problem-solving skills, with the ability to manage multiple priorities in a fast-paced, service-focused environment.
  • Strong command of English composition, grammar, spelling, and punctuation.

Working Environment:

  • This position is located in-person on ASU’s Tempe campus; Monday-Friday (not hybrid)
  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse.
  • Bending, reaching, lifting, pushing and pulling up to 25 pounds.
