Job Summary
  • This role is essential in ensuring smooth office operations aligned with the standards of our global team. The successful candidate will be responsible for managing daily administrative tasks, coordinating office-related procedures, supporting internal teams (especially Customer Service), and liaising with external stakeholders and vendors. 


Key Responsibilities
  • Oversee and manage daily office operations to maintain a well-functioning and efficient workplace 
  • Support office leasing activities, including lease renewal, expansion, and site selection 
  • Coordinate office renovations, layout modifications, and workspace planning 
  • Maintain inventory and place orders for office supplies, equipment, and furniture 
  • Facilitate office-related events, meetings, and internal celebrations 
  • Liaise with property management and vendors to ensure timely service and maintenance 
  • Maintain office safety and cleanliness and enforce security protocols (e.g., access card programming) 
  • Monitor and control office-related expenses within budget 
  • Assist with employee onboarding and offboarding processes 
  • Handle administrative support tasks such as document stamping, recordkeeping, and scheduling 
  • Revise local administrative policies in line with corporate guidelines 
  • Provide general support to visitors and external contacts 
  • Assist in internal and external audits when required 
  • Perform other administrative tasks as assigned 


Key Qualifications
  • Education: Bachelor’s degree (any field) 
  • Experience: Minimum of 3 years in administrative or office management roles, experience with office renovations or space management is an advantage 
  • Language Skills: Proficient in English (spoken and written), Verbal Mandarin communication skills are preferred but not required 
  • Technical Skills: Proficiency in Microsoft Office (Word, PowerPoint, Outlook) 
  • Other Skills: Strong organizational and multitasking abilities, high attention to detail and ability to work independently, discretion in handling confidential information, effective communication and coordination skills, and flexible, proactive, and solutions-oriented
