| SUMMARY: | The Harmony House residential manager oversees all aspects of the day-to-day operation of a residential program for 16 adults with serious mental illness. The position is responsible for leading a team and implementing the service model per DHS grant and CARF accreditation standards along with meeting agency expectations for quality. A strong recovery mental health focus and leadership skills are required to do the work in stabilizing and then transitioning residents to more independent living. The Manager meets program objectives through supervision of a team lead and 7 – 9 staff. | ESSENTIAL DUTIES: - Coordinate staff schedules to ensure 24/7 coverage of shifts. Develop a work schedule that maximizes program supervision and provides adequate supervision of program staff during the hours of program operation. Delegate and assign program responsibilities amongst staff in a fair and consistent manner.
- Provide orientation, training, evaluation, and discipline of staff, substitutes, and consultants. Assist with hiring.
- Complete weekly supervision with all employees to provide feedback and follow-up on employee duties.
- Work directly with clients regarding case management needs, training in independent living skills, and provide individual/group services or crisis intervention as needed.
- Collaborate with team members, prescribers, and other externa treatment providers to deliver quality service and effective interventions on behalf of the clients.
- Maintain documentation and charts to ensure compliance with Medicaid, MCOs, Commission on Accreditation of Rehabilitation Services (CARF),DHS DMH funding bodies, and organization standards, i.e., service notes, medication logs, safety drills, etc.
- Document all services provided to clients daily in Anixter's electronic health record. Maintain a productivity goal of 8 - 10 hours weekly (30 - 40 units).
- Rotate on call duties with other employees in the department, including covering a shift if no staff can be arranged. On call lasts for two weeks and the manager must beavailable24/7 during that time frame.
- Ensure program fees are collected from residents monthly.
- Maintain all required training / certification (i.e., NCI, CPR and First ). Ensure that staff complete all required and recommended agency training on time.
- Coordinate client intake, admission, transfers, and discharge. Keep homes at 100%clientsoccupancy(16residents).
- Oversee and implement medication protocols, use the electronic system for med documentation.
- Ensure that monthly resident meetings are held, collect resident input and satisfaction is solicited. Follow up on any comments or suggestions.
- Function as program liaison with other service providers/family/guardians/community in coordinating client services and supports. Aid or coordinate with specific treatment interventions for the individual clients and provide follow-up.
- Drop by the program one weekend day per quarter to engage staff during non-typical hours.
- Complete all necessary paperwork and written reporting as required and in a timely manner.
- Function as Safety Officer of the program, ensure safety procedures are developed and used. Ensure that all safety deficits are corrected. Ensure that staff and clients are trained in the safe use of home and community.
- Identify the purchasing needs of the program and facility including supplies, equipment, and furnishings.
- Oversee Case Record Review at least once a quarter to ensure service provision and documentation completeness. Review results of assessments and implement necessary changes.
- Coordinate maintenance of the building and ensure follow-up on maintenance issues. Coordinate the regular upkeep of interior and exterior areas of the building.
- Monitor data in an electronic health record system to ensure services and notes are completed as projected. Oversee billing and ensure billing documentation is completed weekly at a minimum.
- Follow CBA for union employees.
- Oversee client funds if Anixter is the payee.
- Complete IM + CANs mental health assessment for residents every 6 months.
- Other duties as assigned.
| REQUIREMENTS (Competencies, skills, abilities, experience, education necessary.) | - Bachelor’s education in a social service field ( the definition of a MHP inMHRule140 /132)
- Valid Illinois driver’s license and ability to meet agency insurance requirements to drive agency vehicle.
- Computer competency with electronic health record systems required, including the Electronic Medication Administration Record system.
- Flexibility in thinking and actions to meet the needs of employees and residents in a 24/7 residential program.
- Organizational skills to track appointments and maintain processes and systems.
- Ability to be on call for two weeks (on a rotation) 4 -6times a year.
Nonessential Skills and Experience: - Supervisory experience preferred.
- Experience in a residential setting with persons diagnosed with Mental Illness.

- Normal work hours are 40 hours per week, Monday, Wednesday, Friday - 9a to 5p; Tuesday and Thursday: 10a to 6p. Some Weekends and Evenings. On call Rotation.
