Key Responsibilities

  1. Onboarding, Mentoring, and Early-Tenure Coordination
    • Coordinates the end-to-end mentoring workflow across branches and MSSC (intake, touchpoints, documentation, tracking) to ensure a consistent experience.
    • Maintains visibility into where each new hire/mentee is in the process, what’s next, and what is at risk of slipping.
    • Coordinates mentor/mentee scheduling with Workforce Management and branch leadership, aligning timing to protect operational coverage and reduce disruption.
    • Manages reschedules and logistics to ensure sessions still occur when real-world schedules change.
    • Administers readiness requirements (pre-mentor checklist) and confirms prerequisites are met before mentors are assigned.
    • Flags early risks (missed milestones, readiness concerns, repeated training gaps) and escalates themes so the manager can intervene sooner.
  2. Learning Reinforcement Tools, Materials Governance, and Session Support
    • Supports training and mentor sessions using manager-approved content by coordinating schedules, materials, attendance tracking, and follow-up actions.
    • Reinforces expectations and confirms required activities are completed—without owning curriculum, program strategy, or governance.
    • Maintains centralized mentoring/onboarding tools (job aids, FAQs, checklists, templates, packets) so resources are usable and consistent across channels.
    • Coordinates updates with SMEs when processes, tools, or policies change and ensures changes are reflected in materials.
    • Handles documentation organization and version control so teams aren’t using outdated materials.
    • Collects feedback from trainers, MSSC leaders, and branch leaders; consolidates themes, risks, and what’s “breaking” into clear summaries for the manager.
  3. Communication, Tracking & Administrative Support

    • Manages post-mentoring packet distribution/collection, records completion, and keeps documentation clean, timely, and audit-ready.
    • Maintains tracking/reporting for mentoring and onboarding milestones, session participation, and completion status so leaders have visibility.
    • Tracks mentor certification enrollment/completion and keeps status visible for leaders (e.g., who is eligible, in-progress, or overdue).
    • Coordinates recognition logistics (communications, celebration planning, appreciation options) based on manager parameters.
    • Where applicable, supports leadership-track mentoring logistics (pairing support, scheduling, communications, progress touchpoints) in partnership with the program lead.
