    WHAT WILL YOU BE DOING?

    You will be responsible for compiling all maintenance services records, and will complete invoicing, prepare formal quotes, payroll administration and complete purchase requestions.  Connecting with current and new vendors to receive quotes for materials, delivery schedules.

    • Complete and approves departmental payroll coding and scheduling using time and attendance software; ensure payroll data is completed according to payroll timelines
    • Gather quotes and source contractors and suppliers. Follow up with third party contractors to ensure required documents and sign-offs have been completed, including Form 1000’s, WSIB Clearance Certificates, SDS Sheets, BMR Construction Document Sign-off, Proof of Insurance, and other required documents.
    • Complete purchase requests for the departments, ensuring all details are present and accurate; distributes confirmed Purchase Orders to contractors and suppliers and ensures that all departmental PO’s are received and invoiced.
    • Coordinate the delivery of materials and orders with department leaders and vendors
    • Prepare quotes and invoices for external contracts
    • Track and maintain a filing system and database for external contracts, equipment inspections, personnel certifications, and training

    WHAT DO YOU NEED FROM ME?

    • One to three years of related administrative experience; Payroll experience is an asset
    • Strong computer skills including Microsoft Word, Excel, Power Point and Outlook
    • Detail-oriented with proven ability to effectively prioritize workflow
    • Ability to exercise good judgment, show initiative and be proactive
    • High standards of ethics and confidentiality to handle sensitive information
