Position Overview

The Purchasing & Shipping Coordinator supports the day-to-day purchasing, receiving, inventory control, and outbound shipping operations for our manufacturing facility. This role is execution-focused and hands-on, ensuring materials are received accurately, tracked correctly, and distributed efficiently to support production and installation teams.

This position works closely with leadership, production teams, and a receiving/data-entry team member to maintain accurate inventory records and smooth material flow.

Primary Responsibilities

Purchasing & Inventory

  • Coordinate material orders based on production schedules and project requirements.

  • Communicate with approved vendors regarding orders, delivery timelines, and discrepancies.

  • Assist with obtaining competitive quotes for larger purchases as directed.

  • Track inventory levels and notify leadership of shortages or issues.

  • Maintain accurate records distinguishing stock materials from special-order items.

  • Help reduce rush orders and ordering errors by ensuring accuracy and planning.

  • Maintain purchasing and inventory documentation in company systems.

Shipping and Crating Support

  • Prepare outbound shipments, including proper packaging, labeling, and documentation.

  • Assist with scheduling carriers and coordinating pickup timelines.

  • Verify shipments are complete and job-ready prior to departure.

  • Communicate shipping status and timelines internally.

  • Assist with resolving shipping issues as needed.

Cross-Department Collaboration

  • Coordinate with fabrication, routing, outsourcing, and installation teams to ensure materials are job-ready.

  • Support installation teams by verifying materials match job requirements.

  • Communicate material availability and issues proactively to prevent delays.

Process and Organization

  • Follow established purchasing, receiving, and shipping procedures.

  • Assist with maintaining clean, organized, and efficient storage areas.

  • Suggest improvements to workflows, organization, and material tracking.

  • Support the adoption and consistent use of material tracking tools and processes.

Experience & Qualifications

  • 2+ years of experience in purchasing, receiving, warehouse, or logistics support roles.

  • Experience in a manufacturing, construction, or sign industry environment preferred.

  • Basic experience with inventory, ERP, or purchasing systems (training provided).

  • Ability to lift 50+ lbs and perform hands-on material handling tasks.

  • Forklift experience or willingness to obtain certification.

  • Strong attention to detail and organizational skills.

  • Ability to work in a fast-paced, deadline-driven environment.

  • Reliable, accountable, and able to work independently and as part of a team.
