LEGAL & CLAIMS COORDINATOR

Position Summary
We are seeking a highly organized and proactive Legal & Claims Coordinator to coordinate and support the company's legal, insurance, and claims activities. This role serves as the centralized coordination point for incident reporting, insurance claims, and litigation support, reporting to the Senior Vice President of Corporate Operations and working closely with internal leadership, insurance carriers, brokers, third-party administrators, and outside legal counsel. The Legal & Claims Coordinator ensures claims are reported in a timely and accurate manner, documentation is complete and properly maintained, and leadership has clear, ongoing visibility into risk exposure, claim status, and emerging trends. This role exercises independent judgment within established guidelines and company policies and escalates matters to leadership in accordance with defined escalation protocols.
The work location for this position may include in-office, remote (home), or a combination of in-office/remote as well as occasional property visits.
Key Responsibilities
Claims & Incident Management
- Serve as the primary intake and coordination point for all insurance claims, including property-level general liability, workers' compensation, EPLI, and property claims, ensuring consistency and compliance with reporting requirements.
- Ensure timely, accurate, and complete reporting of incidents and claims to insurance brokers, carriers, outside counsel, and third-party administrators in accordance with policy and contractual timelines.
- Maintain detailed and organized claims logs, timelines, supporting documentation, and status updates for all active and closed claims.
- Track claim developments, settlements, and reserves in coordination with insurance carriers and brokers, escalating material developments to leadership as appropriate.
Legal Coordination
- Act as the primary liaison with outside legal counsel on litigation, demand letters, subpoenas, and other legal matters, under the direction of executive leadership.
- Track litigation deadlines, discovery requests, and key milestones to ensure timely responses and compliance with legal obligations.
- Maintain organized legal files and provide regular and timely updates to leadership regarding legal matters, risks, and upcoming deadlines.
- Coordinate internal document collection, information gathering, and responses for legal matters in collaboration with internal stakeholders.
Insurance & Risk Support
- Partner with the corporate insurance broker to support insurance renewals, audits, exposure reporting, and carrier inquiries.
- Assist with the completion of insurance applications, fulfilling loss run requests, and preparation of exposure reporting.
- Monitor property insurance policies and certificates for compliance with Allied requirements and contractual obligations.
- Manage and oversee assigned insurance claims on behalf of Allied and Allied clients, serving as the primary point of coordination and accountability.
- Identify trends in claims and incident data and proactively flag potential risk areas to leadership.
- Support internal risk management initiatives, policy improvements, and process enhancements to reduce future exposure.
Internal Communication & Reporting
- Manage the internal escalation process for legal and claims matters, ensuring appropriate leadership awareness and involvement.
- Prepare and provide regular claims, litigation, and risk summaries to leadership.
- Educate internal teams on proper incident reporting procedures, documentation requirements, and escalation protocols.
- Collaborate with portfolio management, operations, and leadership to ensure accurate, consistent, and timely information flow.
Administrative & Special Projects
- Assist with special projects related to risk management, insurance, compliance, and legal operations.
- Support audits, discovery processes, internal investigations, or reviews related to claims, insurance, or litigation, as directed.
- Attend relevant meetings and trainings to remain current on legal, insurance, and risk management practices.
Qualifications
- Bachelor's degree or equivalent professional experience in insurance, risk management, legal administration, or a related field.
- Minimum 3-5 years of experience in insurance claims coordination or as an insurance claims adjuster (strongly preferred), risk management, legal administration, or property management.
- Experience working with insurance carriers, brokers, attorneys, and third-party administrators.
- Strong organizational skills with exceptional attention to detail.
- Ability to manage multiple matters simultaneously while meeting deadlines.
- Clear and professional written and verbal communication skills.
- High-level proficiency in Microsoft Office Suite / Office 365, including Outlook, Excel, and Word.
- Comfortable working with confidential and sensitive information.
- Proactive, disciplined work ethic with the ability to manage matters independently and follow through without constant oversight.
- Experience in the multi-family housing industry is a plus.
- Ability to work in a typical office environment; occasional lifting of files or boxes up to 30 pounds.
Compensation & Benefits
- Competitive salary based on experience
- 152 hours (19 days) PTO annually, plus carry-over up to 120 hours and longevity PTO at 5 and 9 years
