About this role

The Transportation Dispatcher is responsible for organizing and directing shuttle assignments to ensure safe, timely, and efficient ground transportation of flight crews. This position serves as the communication hub between drivers, crew members, and airport operations. Dispatchers use scheduling software, radios, and flight tracking systems to monitor assignments and adjust logistics in real time based on operational needs.

 

This role operates in a fast-paced airport environment and is critical to supporting on-time flight departures, smooth ground coordination, and service quality.


Responsibilities

  • Assign and monitor shuttle pickups and drop-offs for flight crews between aircraft, airport offices, and hotel locations.
  • Use flight tracking displays and scheduling tools to anticipate and plan driver assignments.
  • Maintain active communication with drivers using two-way radio systems; issue instructions and updates throughout the shift.
  • Maintain real-time logs of shuttle activity, including time stamps, vehicle assignments, driver details, and flight numbers.
  • Adjust assignments based on changes to flight schedules, staff availability, or weather-related impacts.
  • Communicate clearly with station agents, flight crew, hotel staff, and internal departments.
  • Alert Transportation Supervisor to any disruptions, equipment issues, or personnel concerns.
  • Ensure compliance with airport regulations and company policies.
  • Support operational continuity during irregular operations or emergencies.
  • Perform additional tasks or duties as assigned by management.

Qualifications

  • Must be 18 years of age or older.
  • High school diploma or equivalent (GED).
  • Must be authorized to work in the United States.
  • At least one (1) year of dispatch, scheduling, or logistics coordination experience (transportation or aviation preferred).
  • Must pass a pre-employment background check, fingerprinting, and drug screening.
  • Proficiency with radio systems, basic Microsoft Office applications, and scheduling tools.
  • Strong communication skills and the ability to make decisions under pressure.
  • Attention to detail and ability to accurately log and relay information.
  • Ability to work rotating shifts including evenings, weekends, and holidays.
  • Willingness to work in both indoor and limited outdoor conditions.
  • Valid Driver's license required.

Communication Skills:

 

  • Speak clearly and professionally in person, by phone, and over two-way radio.
  • Read and interpret flight schedules, dispatch instructions, and procedures.
  • Write clear and accurate notes, logs, or shift reports.

Mathematical Skills:

 

  • Perform basic math functions (addition, subtraction, multiplication, division).
  • Understand timing intervals, trip sequencing, and driver allocation.

Problem Solving and Reasoning:

 

  • Adjust to last-minute changes in crew schedules or flight arrivals.
  • Apply logic to manage high-volume demands or unexpected issues.
  • Prioritize tasks and reroute resources during peak hours.

Physical and Environmental Requirements:

 

  • Work is primarily desk-based within a dispatch office.
  • May involve extended periods of sitting, use a headset, or viewing flight displays.
  • Occasional movement outdoors or around airport premises for operational support.
  • Must be able to wear a radio headset and use communication equipment throughout the shift.

Work Schedule:

 

Shifts may vary and include early mornings, late evenings, weekends, and holidays. Schedules are typically structured in 8- to 10-hour blocks and may be adjusted based on operational needs or irregular operations.
