Job Description

Position Summary: Responsible for end-to-end management of project administration, with a strong focus on land rights documentation, legal permits, and payment system coordination. This role ensures seamless project operations in compliance with ISO standards.

Job Description

1. Documentation

  • Land Document Management: Oversee and control Land Reservation Agreements (LRA), Land Lease Agreements (LLA), and all land-related documents in both physical and digital formats.
  • Permits & Approvals: Track all necessary permit licenses and approval documents
  • Bidding Support: Organize and prepare documentation for project bidding and PPA (Power Purchase Agreement) bidding proposals.

2. Team Management & Planning

  • Annual Planning: Draft and manage the yearly schedule for project administration activities.
  • Team Supervision: Lead and manage the Project Admin team to ensure accurate preparation of land documents and effective coordination with government sectors.
  • Standardization: Design and issue document forms under project SPVs (Special Purpose Vehicles) in accordance with ISO standards.

3. Coordination & Financial Administration

  • Disbursement Support: Act as the central point for system approvals (e-signature), manage cash advances, and clear all project expenses via the "Approval ax" system.
  • Internal Coordination:

- Collaborate with the Land and GIS teams to track project progress and related documentation.

- Coordinate with the Accounting department to verify monthly, periodic, and annual payments.

- Work with other departments regarding project cost management.

- Coordinate with project coordinator for supporting project data.

  • General Support: Manage supplier requests and handle travel arrangements (transportation and hotels) for all project development activities.

4. Reporting

  • Data Maintenance: Maintain up-to-date project cost data and provide summary status reports for land documentation (LRA/LLA).

Required Skills and Competencies

REQUIRED PROFILE

  • Qualifications/Education: Bachelor’s Degree in any field (Degrees in Business Administration, Law, Management, or related fields are preferred)
  • Languages/Level: English/high/intermediate level, spoken and written.
  • Skills:

- Systematic Thinking: Ability to design and maintain document standards in accordance with ISO principles

- Land Documentation Expertise: Practical understanding of land rights documents (e.g., Lease Agreements, Title Deeds, Reservation Agreements) and the ability to verify their completeness.

- Financial & System Literacy: Proficiency in Microsoft Excel and experience managing payments, cash advances, and expense clearing through ERP or online approval systems.

- High Attention to Detail: Essential for managing critical legal and financial project documents with 100% accuracy.

- Communication & Negotiation: Ability to act as a central coordinator between Accounting, Technical teams (GIS), and external suppliers.

- Accountability: Strong organizational skills to manage yearly schedules and project deadlines effectively.

Experience: 5+ years of experience in Project Administration, Project Coordination, or Project Secretariat roles in real estate, renewable energy, infrastructure construction.
