Location: Middletown, NY

Rate: $25.00 

Shift: Monday - Friday, 9am - 5pm (40 hrs.) 

OVERVIEW OF PRIMARY RESPONSIBILITES:

 

In this role, you will assist with and monitor the SH staff hiring process, conduct new staff orientation, and provide ongoing training and re-training to ensure full training compliance. You will monitor staff pay and communicate any changes with HR as needed. Responsibilities also include maintaining the employee roster, completing time approvals and corrections, and reviewing and approving monthly summaries.

 

You will ensure ongoing policy compliance and support the corrective action process. Additional duties include processing time system approvals, reviewing and approving time-off requests, and evaluating staff activity fee submissions and mileage reimbursement requests. The position also requires completing DSP evaluations in accordance with agency standards.

 

PRIMARY FUNCTIONS:

Hiring, Onboarding & Training

  • Assist with and monitor all stages of the direct support staff hiring process.
  • Conduct staff orientation and ensure all onboarding tasks are completed accurately.
  • Provide ongoing staff training and re-training as required.
  • Ensure full compliance with all mandatory training requirements.

Payroll, Timekeeping & Administrative Management

  • Monitor staff pay and submit payroll change requests as needed.
  • Maintain and update the employee roster daily.
  • Review and approve staff time entries, including time corrections.
  • Complete monthly time summary reviews and approvals.
  • Process payroll system approvals to ensure accuracy and compliance.

Compliance, Planning & Performance

  • Ensure ongoing compliance with agency policies, procedures, and regulatory standards.
  • Support and implement the corrective action policy when necessary.
  • Review and approve time-off requests based on program needs.
  • Complete DSP evaluations in accordance with agency standards and timelines.

 

Financial & Reimbursement Responsibilities

  • Review and approve staff activity fee request submissions.
  • Review and approve mileage reimbursement requests.
  • Ensure documentation meets all agency and program requirements.

ADDITIONAL FUNCTIONAL / ORGANIZATIONAL SUPPORT:

QUALIFICATIONS AND ATTRIBUTES:

 

  • Leadership & Oversight: Ability to guide staff and ensure compliance.
  • Communication: Clear, professional written and verbal communication.
  • Problem-Solving: Ability to address issues proactively and effectively.
  • Time Management: Able to prioritize tasks and meet deadlines.
  • Technical Proficiency: Comfortable using HRIS/timekeeping systems and agency software.

 

EDUCATION AND EXPERIENCE:

  • Associate or Bachelor’s degree preferred
  • Prior experience in staff supervision, HR support, compliance, or program administration strongly preferred.
  • Strong organizational skills with the ability to manage multiple tasks and deadlines.
  • Knowledge of payroll systems preferred.
  • Ability to communicate clearly and professionally with staff at all levels.
  • Strong attention to detail and commitment to accuracy.
  • Ability to maintain confidentiality and exercise sound judgment.
