Receptionist

DAS – Facilities Management

Full-time, Hourly

Pay Range: $15.02 – $22.51 ($31,241.60 – $46,820.80)

 

Job Summary: The Receptionist position works with tenants, contractors and other governmental bodies to respond to incoming service requests and work orders.  Responsibilities include managing the work order system queue, prioritizing requests, and dispatching urgent work orders to the appropriate dept. /personnel and/or vendors.  The role involves answering phones, greeting and directing incoming visitors, and providing limited purchasing and administrative support to Facilities staff.  The position ensues that facility maintenance and operational issues are communicated clearly and escalated appropriately so that timely first-response resolution can occur. This role also serves as a primary point of contact for tenant communication, helping to keep tenants informed, maintaining positive working relationships, and support a smooth and administrative workflow. This position may be held at various Facilities Management maintained buildings, as needed.

 

Essential Duties and Responsibilities:

  • Work Order Request System -CMMS (Computerized Maintenance Management System-Cityworks or alternative program) – Create and assign work orders to appropriate trade or operations staff; dispatch urgent work orders requests to Facilities personnel and/or vendors depending on scope of work; understand and have ability to speak to workflow of CMMS (Cityworks or alternative program) request system. Follow up with customers regarding service requests.
  • Administrative Support – Provide professional customer service and assist with resolution on any service issues, maintain key logs; distribute incoming/outgoing mail; answer phones, greet and direct visitors. Verify data on authorization request documents, respond to Facilities shared email, support administrative staff as needed.
  • Purchasing Support - Secure required documentation, order office supplies; verify account coding for purchasing; accurately enter, modify, and receive requests in purchasing software.
  • Other duties as assigned.


Minimum Qualifications: 

  • Current resident of Wisconsin
  • High School Diploma/ GED and above.
  • At least One (1) year or more experience as a receptionist or office support required and with high-level administrative, communication and correspondence skills
  • Intermediate knowledge of all related computer and software applications, such as word processing and spreadsheets.
  • Intermediate knowledge of Infor or alternative purchasing system
  • Advance knowledge of  CMMS -Maintenance; Cityworks or alternative program

Preferred Qualifications:

  • Associate’s Degree in Accounting or related field preferred
  • 2-way radio, telephone preferred.
  • Experience in an accounting setting preferred
